With a reputation for quality craftsmanship and customer-focused service, we’re looking for a dedicated Administrative Support Specialist to keep our operations running seamlessly.
The ideal candidate will play a pivotal role in ensuring the smooth operation of our office by overseeing administrative tasks, providing support in human resources and accounting functions. This position requires strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Responsibilities:
As an Administrative Support Specialist, you’ll play a key role in supporting our team and ensuring efficient business operations. Your duties will include:
· Serve as the first point of contact for visitors, clients, and vendors; manage phone calls, emails, and office inquiries professionally.
•Assisting with accounts receivable, accounts payable, and other financial record-keeping.
•Manage database to track and process rebate opportunities.
•Manage company vehicles, coordinating and tracking maintenance.
•Association Management, handling membership details and inquiries, processing monthly dues, and serving member needs.
•Source, vet, and establish relationships with new subcontractors, ensuring they meet project requirements and company standards.
•Occasional travel within service areas for company-related tasks.
Qualifications:
We’re seeking an individual with:
•Strong organizational and multitasking skills with a proactive detail-oriented mindset.
•Ability to quickly grasp new concepts and have a strong aptitude for learning on the go and finding solutions through research and resourcefulness.
•Proficiency in Sage accounting software and Microsoft Office Suite, preferred.
•Experience working in real estate, construction, accounting, banking, and or property management is preferred.
•Excellent communication and teamwork abilities.
