Position Summary
The Accounts Payable Associate is responsible for performing a range of general accounting tasks in a collaborative, team-oriented environment. This role’s primary focus is on managing the full-cycle accounts payable process in accordance with the company’s Qualified Vendor Policy. Additional responsibilities include credit card expense reconciliation, vendor portal payments (e.g., utilities, telecommunications, healthcare), and supporting ad hoc projects to help ensure accurate job costing and timely invoicing.
Essential Duties and Responsibilities
Accounts Payable Functions
•Retrieve and distribute incoming daily mail.
•Match invoices to purchase orders and receiving documentation.
•Verify accuracy of invoices against purchase orders or quotes.
•Obtain appropriate approvals for discrepancies between invoices and purchase orders/quotes.
•Collaborate with Cost Accounting, Purchasing, Specialty Buyers, Project Managers, and Receiving to resolve issues promptly.
•Determine and obtain GL coding approval for non-PO-related expenditures.
•Enter and balance invoices in the A/P system.
•Coordinate with Cost Accounting for direct job purchases.
•Run A/P aging reports in Excel; identify payments due, prepare suggested payment list for Controller, gather corresponding invoices, and prepare checks.
•Submit checks and backup for signature, and mail signed checks.
•Manage vendor portal invoices (utilities, etc.): download, obtain approval, make payments, and record ACH transactions.
•Email ACH confirmations to vendors.
•Conduct monthly vendor statement reconciliations and resolve discrepancies.
•File A/P checks and invoices appropriately.
•Process company credit card payments, ensuring proper documentation and approvals; prepare monthly expense summary for month-end close.
•Maintain documentation folders for specific expense categories (e.g., donations, capital purchases, prepaid expenses).
•Prepare miscellaneous A/P analysis spreadsheets as needed.
•Support special projects and initiatives as assigned.
•Perform other duties as required.
Qualifications and Requirements
•Proficiency in Microsoft Office, particularly Excel (including pivot tables and VLOOKUP), Word, and Outlook.
•Accurate alpha-numeric data entry skills.
•Strong attention to detail and organizational abilities.
•Excellent verbal and written communication skills.
•Professional customer service skills.
•Ability to prioritize tasks, manage time effectively, and meet deadlines.
•Comfortable working in a fast-paced, high-volume environment.
•Fluent in English (spoken and written).
•General proficiency with accounting software and other business applications.
