We are seeking a fully remote, detail-oriented, and proactive team member to support our Accounting Manager in overseeing the day-to-day accounting processes and maintaining integrity across our organization. This role will work closely with our Accounting Manager to help maintain our accounting and payroll functions. Initially, during training, the applicant’s hours should be during normal business hours, but more flex time would become available for certain tasks once applicant has a better handle of the job functions. · Assist the Accounting Manager in the company’s day-to-day needs.
· Follow established workflows (and suggest improvements as needed)
· Review performance trackers and make suggestions for improvements to the Accounting Manager.
· Initial tasks may include the following: updating/maintaining per diem spreadsheet, debt schedule, and job locations of leased vehicles; allocating fuel charges to job; ensuring all invoices on statements have been received; monthly W/C reporting; ensure receipt of required W-9 and COI forms from all required vendors and maintain expiration dates in Sage; set up new jobs in Time & Attendance (T&A) and assign to crew members.
· Initial training would include indexing, matching, and recording credit card transactions and A/P invoices into the Paperless system.
· Sage Paperless (pVault, eCapture) (helpful but not required)
· Sage 100 Contractor (helpful but not required)
· Minimum 3 years previous bookkeeping experience (helpful if in the construction field).
· Proficiency in Microsoft 365 applications: Excel, Word, Outlook, and Teams.
· Exceptional organizational skills with strong attention to detail.
· Strong written and verbal communication abilities - Effective communicator who listens well, seeks clarity, and supports others in achieving shared goals.
· Ability to manage time and responsibilities independently in a remote work environment.
· History of demonstrating problem-solving skills, a proactive mindset in addressing operational risks, and a positive impact on co-workers.
· Must have a reliable internet connection and a dedicated home office.
· Must be willing to work Pacific or Mountain Time business hours.
· Demonstrated experience in accounting, bookkeeping, or financial administration (formal education or hands-on experience both valued).
· Proactive mindset with a willingness to take ownership of tasks that support both the accounting team and the organization as a whole.
· Consistency in meeting deadlines and the flexibility to adapt to shifting business needs.
· Possess a mindset that sees their role as part of a larger system and understands how accurate and timely accounting supports decision-making at every level.
