Job Overview
We are seeking a detail-oriented and experienced Accounting Administrator to join our finance team. The ideal candidate will possess a strong understanding of standard accounting principles. This role is crucial in maintaining accurate financial records, preparing reports, and ensuring compliance with relevant regulations. The Accounting Administrator will work closely with various departments to support budgeting processes and provide insights into financial performance.
Key Responsibilities:
•Document Management: Uploading and organizing documents (e.g., COIs) into the appropriate vendor folders on the drive.
•Statement Review: Dedicating time to thoroughly review vendor statements—this task often takes one person an entire week during month-end close.
•Invoice Follow-Up: Reaching out to vendors for missing invoices to ensure timely payment and avoid late fees or finance charges.
•Data Entry & Organization: Maintaining and updating Excel tracking logs and reports.
•Customer Communication: Answering incoming customer calls to minimize disruptions to team members.
•Accounts Payable & Receivable Support: Assisting with AP/AR data entry to help ensure timely processing.
•Invoicing Backup: Receiving training to serve as a backup for generating and issuing invoices when needed.
•Vendor Communication: Contacting vendors to request required documentation and manage changes in payment methods during this transition (e.g., updated banking information).
Other Skills
•Proficient in Microsoft excel and google sheets
•Basic knowledge of business accounting
•Great Plain experience a plus
