Job Summary:
The Utilities Coordinator provides administrative and clerical support to the Operations Department, with a strong emphasis on communications with customers and environmental regulatory agencies. This position delivers customer service related to sewer and water issues and works closely with the Compliance Coordinator on regulatory compliance issues.
- Interacts with customers primarily by phone and email to provide information in response to routine inquiries.
- Handles general concerns and complaints about utility lines and related issues. Obtains details of complaints, records essential information for work order submissions, logs all customer calls in the utility process management platform (Flowfinity), and creates work orders when applicable.
- Notifies and dispatches supervisors, mechanics, and/or operators regarding work orders.
- Tracks and monitors work orders through completion and follows up with customers as necessary to ensure timely resolution.
- Prepares regular reports from Flowfinity, including call logs, pending and completed work, effluent flow data, and user management (additions/deletions). Matches on-call hours in the system and assists with maintaining a work order calendar for all field departments.
- Assists with scheduling wastewater sampling.
- Ensures all samples are collected within required time frames and verifies lab analysis reports for accuracy based on permit requirements.
- May coordinate resampling based on schedule changes and regulatory requirements.
- Serves as a secondary point of contact with laboratories for scheduling, addressing errors, rescheduling, ordering sampling supplies, and sending effluent flow and other measurable data.
- Works closely with the Compliance Coordinator on regulatory compliance, including scheduling LADEQ field inspections, researching documents, preparing permit applications, change forms, and renewals.
- Verifies quarterly that all LADEQ permits are current for National Water Infrastructure, school boards, and service sites. Maintains compliance documentation for all sites.
- Assists with preparing spill and non-compliance reports to be submitted with Discharge Monitoring Reports (DMRs).
- Assists with extracting flow data from continuous flow recorders and calculating and submitting flow data.
- Works with Compliance Coordinator on providing sample data for service sites and school boards to support proper customer billing. Notifies when DMRs are ready for customer submission.
- Participates in various aspects of utility operations, including notifying electric companies of power outages at NWI systems, maintaining records, and communicating with the in-house engineer and legal team regarding right-of-way/servitude issues.
- Performs miscellaneous office duties, including scanning, filing, preparing letters, entering data sheets, and maintaining permits and required documents for all sites.
- Performs other duties as assigned.
- Skilled in Microsoft 365 applications and collaboration tools.
- Proficient in Microsoft Excel.

- High school diploma or General Education Development (GED) required.
- Education in business administration, biology, or environmental sciences is preferred but not required.
- Experience with administrative procedures is required; prior customer service experience is highly preferred.
