Job Summary
We are seeking a proactive and detail-oriented Operations Coordinator to support our landscape operations team. This role is essential to the smooth execution of our daily field activities by coordinating schedules, managing job logistics, and ensuring crews have the resources they need to deliver high-quality services. The ideal candidate will thrive in a fast-paced environment, balancing administrative tasks with strong communication and problem-solving skills.
- Support daily field operations by coordinating crew schedules, managing job site logistics, and ensuring all teams have the tools, materials, and information needed to perform their work effectively.
- Serve as a primary point of contact for clients—handling scheduling, responding to inquiries, and resolving service issues promptly and professionally.
- Assist field crews by planning routes, tracking progress, and ensuring timely completion of projects.
- Perform general office duties such as answering phones, greeting visitors, and maintaining job files.
- Manage and update records related to job tickets, work orders, time sheets, equipment usage, and service agreements.
- Provide support with billing, invoicing, and internal reporting.
- Proofread and edit proposals, estimates, and internal communications to ensure accuracy and clarity.
- Collaborate with leadership to improve workflow efficiencies, client satisfaction, and operational performance.
- Experience in operations coordination, office administration, or project support—preferably in landscaping, construction, or field service industries.
- Strong organizational skills and the ability to manage multiple crews, schedules, and priorities simultaneously.
- Excellent communication and customer service skills with a professional and solutions-oriented approach.
- Familiar with clerical tasks including data entry, scheduling, document handling, and filing.
- Tech-savvy and able to work within scheduling or CRM platforms (e.g., LMN, Aspire, or similar tools).
- Bilingual (English/Spanish) is a plus but not required.
- Self-starter with the ability to work independently and as part of a team.
