The Utility Solar Site Administrator provides onsite administrative and operational support for utility-scale solar projects. This role is responsible for coordinating site documentation, managing records, supporting compliance, and assisting the project management team with day-to-day administrative functions to ensure smooth project execution.

- Assist the project management team with daily administrative and operational support.
- Manage on-site documentation, timekeeping, and reporting processes.
- Coordinate materials deliveries, inventory tracking, and logistics support.
- Maintain compliance records and safety documentation.
- Support foremen and field crews with schedule updates and resource tracking.
- Communicate regularly with the main office on labor hours, site updates, and purchasing needs.
- Help with onboarding new hires and managing jobsite orientation documents.
- Serve as the primary point of contact for site-level administrative tasks.
- Maintain project records, including permits, contracts, reports, timesheets, safety logs, and compliance documentation.
- Support site management with scheduling, tracking project progress, and coordinating communication among stakeholders.
- Manage inventory and procurement processes for office and field supplies.
- Support the preparation of weekly and monthly progress reports, including project metrics and performance data.
- Track and reconcile expense reports, purchase orders, and invoices.
- Ensure compliance with company policies, safety standards, and regulatory requirements.
- Coordinate travel, meetings, and accommodations for site personnel and visitors.
- Provide general office management, including filing, correspondence, and document control.
- Proven experience in a construction or field office environment.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office and Google Workspace (Docs, Sheets, Drive, Gmail).
- Familiarity with Procore or other construction management software is a plus.
- Excellent communication skills and ability to work in a fast-paced, team-oriented setting.
- Bilingual (English/Spanish) is a plus but not required.
- High school diploma or equivalent; college coursework or degree preferred. Associate’s or Bachelor’s degree in Business Administration, Construction Management, or related field (preferred).
- Knowledge of construction site operations and safety practices desirable.
- Excellent communication and interpersonal skills.
- Ability to work independently in a fast-paced, dynamic environment.
- Ability to work at an active construction site environment.
- May require walking, standing, and sitting for extended periods.
- Must be able to lift up to 25 lbs occasionally.
