Senior Events & Trade Show Coordinator
Job Summary
MacLean Power Systems is seeking a highly organized and proactive Senior Events & Trade Show Coordinator to elevate our brand presence at trade shows and internal corporate events. This role plays a pivotal part in planning, executing, and evaluating events - managing logistics, coordinating across teams, and ensuring every event reflects MPS’s standards and objectives. The ideal candidate is highly organized, detail-oriented, and an excellent communicator - someone who can flawlessly execute events that reflect and reinforce MacLean Power’s culture, image, and business goals.
Job Duties
Trade Shows & Industry Events
- Plan, coordinate, and execute internal corporate events and trade show strategies in alignment with marketing objectives.
- Manage end-to-end logistics for trade shows including booth setup, staffing schedules, transportation, shipping, registrations, and hotel blocks.
- Coordinate with internal teams, venues, contractors, and vendors to ensure all details are executed flawlessly.
- Prepare and manage trade show budgets, ensuring cost control and value.
- Develop and maintain detailed project timelines to ensure timely execution of pre-show, on-site, and post-show deliverables.
- Source, coordinate, and manage promotional materials (giveaways, swag, signage, literature, booth displays).
- Evaluate trade show performance and provide recommendations for future improvements.
- Partner with the Digital Marketing and Design Teams to ensure cohesive event promotion before, during, and after each event.
- Plan and execute internal events, meetings, town halls, and employee engagement activities.
- Manage event logistics, including venue selection, vendor coordination, catering, and on- site execution.
- Handle event registration, attendee tracking, and post-event surveys.
- Ensure all events are aligned with company culture and branding.
- Maintain detailed documentation of all events for internal reporting and evaluation.
- Monitor event trends and identify new opportunities to enhance MacLean’s event presence.
- Ensure compliance with company policies, brand guidelines, and safety protocols.
- Provide on-site event support, including setup, teardown, and real-time troubleshooting.
- Detail-oriented mindset with the ability to anticipate and resolve issues before they arise.
- Bachelor’s degree in Marketing, Communications, Business, or a related field.
- 2-4 years of experience in trade show coordination, event planning, or marketing support.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects simultaneously in a fast-paced environment.
- Demonstrates strategic thinking and problem-solving skills.
- Ability to remain calm under pressure and adapt quickly to real-time changes and challenges.
- Comfortable leading cross-functional teams and vendor relationships.
- Willingness and ability to travel up to 35-40% for trade shows, corporate events, and on-site support as needed.
- Familiarity with event planning software/tools.
- Experience with promotional material sourcing and production.
- Strong interpersonal skills and a customer service mindset.
- Budget management and vendor negotiation experience.
