The Senior Document Controller will participate as an integral team member and will be a key contributor to the organization from a support capacity.
Responsibilities May Include:
Responsible for the Midstream Projects portfolio document management with a total of over ~900 projects from the design, construction, and final handover phases
Supervise third-party engineering firm’s document control processes and progress through the lifecycle of a project from design phase to final handover
Enforce controlled processes and practices for the creation, review, modification, issuance, distribution, and accessibility of a variety of engineering documentation
Enable efficient status tracking, change notification, and provisioning of documents on the approved Company electronic document management system
Ensure all approved project contractual deliverables provided to Company at agreed project milestones are in accordance with Company specifications and standards
Interrelate with multiple company departments for their turnover needs, final as built, operations, information management, and final retention
Maintain and audit project documentation and final turnover files for the Midstream division per Government and Company standards
Organize and lead trainings on Company documentation processes
Work closely with Project Management and the Information Management group to coordinate with contractor counterpart and internal team to manage document control deliverables
Attend Kick-off meetings with engineering and contracting companies to educate and support the project team on P66 tools and policies
Utilize SAP software to locate and review key project information
Navigate LiveLink to locate and retrieve archived project files
Highly skilled in organization, accuracy, and time management to oversee multiple assignments at the same time
Maintain accurate file structure for the entire Midstream Projects Organization
Perform SharePoint Administrative duties for the Midstream Projects Organization, including setting up internal and external sites, granting access rights to stakeholder, and working to ensure information is accessible and accurate
Assist in the implementation of the Midstream Projects closeout procedures and checklist
Responsible for the data management for the Midstream Projects group Lessons Learned Mendix database
Function as a Subject Matter Expert and provide technical support for document related issues
Creating, maintaining, and implementing document management systems by developing procedures and improving workflows for the Midstream Projects Group
Develops metrics to measure the efficiency and effectiveness of processes and prepare monthly progress reports for management and key stakeholders
Required Qualifications:
Legally authorized to work in the job posting country
Associate degree or higher
8 or more years of experience in a business environment related to records management such as record storage, filing, and retrieval
Intermediate proficiency in Microsoft Office Suite applications (Word, Excel, Outlook, SharePoint)
Intermediate proficiency with electronic data management systems and document imaging
Beginner proficiency in SAP
Working knowledge of LiveLink
Expert proficiency operating as a SharePoint Administrator
5 or more years working in the energy industry and/or construction
Preferred Qualifications:
Experience with various proprietary Electronic Document Control and computing systems
Bachelor’s degree or higher
Specific knowledge and experience in the document control process and file management
Excellent interpersonal, verbal, and written skills
Strong initiative with the ability to work independently as well as with a diverse, complex, and broad project team
Midstream
The Phillips 66 Midstream business is a safe, reliable, and trusted provider for the movement, storage, gathering, and processing of liquid or gas energy via pipelines or terminals. We are an industry leader in logistics and operate or manage more than 70,000 miles of pipelines that transport crude oil from oil fields to refineries and finished products from refineries to storage terminals. We operate 39 terminals that supply finished products to consumer gas stations, as well as crude oil and NGL storage terminals and NGL fractionation facilities. Our capabilities include extensive natural gas gathering and processing operations, enhancing our wellhead-to-market strategy. We also provide the connectivity between the various Phillips 66 business units.
