FieldForce, a division of Keystone Clearwater Solutions, provides engineered pumping and power solutions across the Northeast. We support municipal, construction, and industrial clients with rentals, services, and emergency response for pumps, compressors, generators, and water management systems.
The Role
The Rental Coordinator is responsible for assisting in the pre-job planning, execution, and completion of administrative and rental preparation work, ensuring that rental and project goals are met on time, within scope, and within budget. This role involves receiving and processing orders, organizing project activities, managing resources, tracking progress, managing inventory, and maintaining communication between team members, stakeholders, and external vendors. This position plays a key role in ensuring project success, yard efficiency, and overall operational readiness.
Key Responsibilities Procurement & Vendor Coordination:
- Coordinate acquisition of supplies, materials, and rental equipment from vendors
- Manage purchase orders, pricing, and vendor documentation
- Maintain vendor relationships and ensure consistent pricing
- Monitor stocking levels and track inventory usage
- Prioritize equipment repairs and maintenance with operations team
- Maintain records of rental and owned asset inventory and utilization
- Organize yard layout and ensure equipment is stored properly
- Oversee yard upkeep and maintenance of buildings and vehicles
- Ensure tools and equipment are inspected, maintained, and repaired
- Tag out-of-service items and document maintenance plans
- Track service records and support GPS/asset tracking systems
- Coordinate all internal and third-party transportation needs
- Maintain relationships with transportation providers
- Review and monitor driver schedules, dispatches, and compliance with DOT, OSHA, and EPA regulations
- Coordinate delivery and return of rental equipment to/from project sites
- High School Diploma required; College Degree preferred
- Valid driver’s license
- Forklift and heavy equipment operating capability
- Strong organizational, communication, and customer service skills
- Proficiency in Microsoft Office (Excel, Word, PowerPoint)
- Experience with CRM or rental tracking software a plus
- Ability to work full-time yard hours (typically 7:00 am – 5:00 pm, M-F) with occasional weekends
- Detail-oriented and capable of managing multiple projects simultaneously
- Ability to lift and move up to 50 pounds
- Ability to sit, stand, walk, climb, reach, kneel, and balance as needed
