OVERVIEW:
The Property Coordinator ensures the seamless operation, maintenance, and administration of our real estate portfolio. This multifaced role demands a blend of organizational prowess, excellent communication skills, and a keen eye for detail. This position is based in Ottawa, and reports to the Director of Property Management.
In this role you will provide ongoing support and communication to various departments regarding the operations within the organization and establish proper follow-up systems to collaborate with other team members in assisting with their roles and responsibilities.
RESPONSIBILITIES:
Lease Administration
•Responsible for the organizing, reviewing and maintenance of the legal agreements in relation to both MacEwen branded and Quickie branded outlets, including leases and other legal agreements. Ensuring all documents are scanned and properly placed in virtual storage.
•Track and advise management of lease expiry dates, rent adjustments and insurance requirements on a periodic basis.
•Responds to customer enquiries and complaints working with the respective manager to ensure a follow-up process to document each situation.
•Perform the calculation of CAM charges for third party leases, billing and support on collection of accounts where required. Prepare tenant reconciliation statements.
Maintenance & Repairs
•Serve as the first point of contact for service requests across Grant Castle Corp. properties. Coordinating maintenance activities and repairs such as ordering supplies or arranging for contractors to complete repairs.
•Prepare all relevant documentation, including generating and processing work orders and purchase orders related to maintenance and repairs.
•Ensure timely resolution of property maintenance issues.
•Learn and implement CMMS software to assist with maintenance and repairs.
Administrative Support
•Providing administrative support for Director of Property Management, Repairs and Maintenance Manager, and Territory Managers.
•Maintaining and updating existing MS Excel reports, property records, and databases for various departments.
•Prepare reports and presentations for internal stakeholders.
EDUCATION & SPECIALIZED KNOWLEDGE:
Education & Experience
•Post-secondary education in business, administration, accounting, finance, or a related discipline.
•A minimum of 2-3 years of experience in leasing, property administration, real estate administration, or a similar role.
Skills & Knowledge
•Strong understanding of lease agreements and property documentation.
•Comfortable performing CAM reconciliations and interpreting financial data.
•High degree of proficiency in the use of Microsoft suite of software, particularly with MS Excel (reporting and data management).
•Excellent verbal, written and electronic communication skills in both English and French.
•Ability to dig for information independently and look at both written and financial data with a critical eye.
•Strong administrative and organization capabilities with attention to detail.
•Ability to multitask and prioritize in a fast-paced environment.
•High-level of independence and sound judgment when handling confidential matters.
