Project Coordinator

Purpose
Virtus Renewables is seeking a highly organized and proactive Project Coordinator to support the full project lifecycle of our utility-scale solar initiatives. This position plays a dual role—providing critical administrative support while ensuring project timelines and team deliverables are met with precision and efficiency.
As the liaison between internal departments and the field crews, the Solar Project Coordinator ensures smooth handoffs from contract execution to system commissioning. The ideal candidate will thrive in a fast-paced environment, balancing logistics, documentation, scheduling, and regulatory processes with a strong attention to detail and a collaborative approach.
Project Coordination
•Act as the primary point of contact for internal teams, clients, and vendors.
•Coordinate schedules, deliveries, and crew assignments in alignment with project milestones.
•Track project progress and collaborate with design, procurement, and installation teams to meet deadlines.
•Support operational readiness through timely procurement and scheduling coordination.
Administrative Support
•Manage project documentation, including contracts, permits, invoices, and customer submissions.
•Maintain organized records for all phases of the project lifecycle.
•Assist with invoice generation, payment tracking, and cost reconciliation against budget.
Compliance & Quality Assurance
•Coordinate and schedule inspections; document results and track any corrective actions.
•Maintain accurate records for commissioning, warranties, and service agreements.
•Support internal QA/QC processes related to documentation, inspection readiness, and project closeout.
Required Skills and Expertise
Experience: Minimum of 2–3 years in project coordination, administrative support, or solar operations. Familiarity with solar, construction, or permitting processes preferred.
Project Management:
•Ability to manage multiple active projects simultaneously and meet strict deadlines.
•Strong time management and organizational skills in a dynamic work environment.
Communication:
•Excellent written and verbal communication skills for cross-team coordination.
•Comfortable engaging with customers, subcontractors, and utility representatives.
Technology Skills:
•Proficiency with Microsoft Office Suite and project tracking platforms (e.g., Smartsheet, Monday.com, or similar).
Education and Certifications
Education: Associate’s or Bachelor’s degree in Business, Construction Management, Renewable Energy, or related field preferred. Equivalent work experience will be considered.
Certifications: Project Management coursework or certifications (e.g., CAPM, PMP) are a plus.
