Summary
The Residential Project Coordinator (PC1) performs the critical role of interface between Sunspear customers and project management / construction teams to provide support throughout the solar installation project lifecycle.
Project Coordinators are the primary point of contact with our customers and own the customer relationship post-sale. Project Coordinators are responsible for communicating with customers as well as internal and external stakeholders and assisting with managing activities across multiple departments and functions to drive projects to completion. The Project Coordinator is viewed as the primary ‘Customer Advocate’ and owns making sure our customers have an experience they love.
Project Coordinators will support the Residential Operations Department to ensure all PV construction projects and assignments start and complete on time, keep communications clear with Customers and the team, track project data, and help projects move along efficiently.
Responsibilities and Duties
•Communicate with customers professionally and proactively to identify and define project description, timeline, and scheduling
•Serve as the single point of contact for customers during the installation lifecycle
•Manage customers’ expectations of project deliverables and timelines as well as deliver proactive communication to customers so they are informed of progress
•Serve as the primary customer advocate who takes responsibility to make sure our customer’s project runs smoothly
•Drive project stakeholder action and execution to ensure project milestones are completed in a timely manner
•Manage conflict and customer dissatisfaction by taking ownership of issues and working proactively with stakeholders to resolve in a timely manner
•Support closed loop learning to develop, refine, and implement processes to improve efficiency and customer experience
•Build relationships with internal/external stakeholders/customers through respect, empathy, effective communication and being well organized
•Prepare and route AHJ (Utility and Building Department) applications, permits, inspection requests, submittals
•Manage project-related paperwork by ensuring all necessary AHJ applications are current, properly filed and stored
•Documentation and record-keeping of each phase of the project, as well as making summary reports that will be presented to management
•Gathering necessary project documents and photos and saving to project files on company CRM, OneDrive and any other electronic file storage system used

•Any other project coordinating required items to ensure the success of projects
•Assist tracking project schedules with milestones and due dates
•Assist tracking materials ordered for PV construction projects
•Working with team members in the field and on site who have project issues
•Assist the project operations team, including any specific tasks and/or duties
•Meet or exceed safety, quality, and productivity targets
•Participate in training modules to ensure constant learning goals to increase solar knowledge base
•Assist the sales team with collecting all documents required for contracts to progress from sales to finish, including but not limited to property deeds and trusts, HECO bills, etc.
•Follow all project tracking in Project tracking software to take projects from inception to completion
Qualifications and Skills
•Strong customer service and communication skills and ability to provide exceptional customer experience at all times
•Clear communication by phone, in person, and through email.
•Ability to recognize customer problems and issues while being proactive in implementing solutions resulting in a positive customer outcome.
•Minimum one (1) years of construction project management experience, preferably in solar energy projects, preferred
•Proficient with MS Office Software: Excel, Word, PowerPoint, and Outlook
•Strong math and analytical skills with sharp attention to detail
•Ability to operate proficiently within the in-house computer software programs
•Excellent written and verbal communication, presentation, editing, and proofreading skills required
•Be highly organized and able to work with deadlines on multiple projects simultaneously
•Participate in training modules to ensure constant learning goals to increase solar knowledge base
•Effective time management skills stressing punctuality for both internal and external meetings and appointments.
