Toth and Associates is seeking a talented Project Coordinator with a passion for organization and improvement of workflow processes. The person in this position is a member of and will support the Civil Engineering Department. Their main duties include maintaining work schedules, organizing, and participating in meetings and ensuring that deadlines for projects are met. Duties will include coordination with engineers, project managers, and others in order to organize and align work tasks to successfully complete projects and meet client expectations.
The successful candidate will be detail-oriented with a positive attitude and strong work ethic. 'Soft skills' including problem solving and both written and spoken communication skills will be integral to the role. Highly desired skills include the ability to facilitate a collaborative and cooperative environment among various team members to build stronger working relationships in which problems are caught and solved efficiently and effectively.
Essential Duties and Responsibilities:
•Coordinate and participate in project meetings and identify potential action items
•Evaluate potential problems and technical hitches and develop potential solutions
•Plan and manage team goals, project schedules, and new information
•Manage current projects and collaborate with team members to keep workflow on track
•Manage project-related paperwork by ensuring all necessary materials are current, properly filed, and stored
•Manage project correspondences by preparing and reviewing project proposals, memos, meeting minutes, and MS Teams task postings
•Communicate with clients to identify and define project requirements, scope, and objectives
•Effectively communicate desired technical products detail, approach, purpose, and other instructions necessary to for technicians to achieve desired product
•Effectively communicate possible land or permit related issues to local and remote. TOTH engineers along with possible solutions
•Effectively communicate perceived or real discrepancies in maps, drawings, exhibits, and groups of these deliverables to resolve issues and keep the project on track
Qualifications
•2-5 years of project management or project coordinator experience
•Proficient in software programs such as Microsoft Office, Teams, and Project as well as Adobe
•Self-motivated and able to work independently with minimal supervision
•Looks for new challenges and opportunities
•Personable to a wide variety of individuals from client to contractor to engineering staff
•Good communication and interpersonal skills capable of maintaining strong relationships
