What You Will Contribute:
The Project Coordinator plays an important supporting role in the Systems Engineering Project Management team. The Project Coordinator facilitates successful execution of Systems Engineering projects by coordinating internal design and manufacturing schedules as well as fieldwork schedules and providing essential support to project managers with customer contact and document preparation. Expertise in customer communication, scheduling, and proficiency in MS Office are crucial for this role.
Job Duties:•Scheduling and Coordination:
•Coordinate with project managers, field teams and other stakeholders to ensure rapid communication of late breaking project changes and timely completion of project milestones.
•Monitor and adjust schedules to accommodate changes in project requirements.
•Serve as a point of contact for customers, addressing inquiries and providing regular updates on project status.
•Coordinate internal team members and external partners to deliver integrated solutions with minimal risk and timely issue resolution.
•Collaborate with project managers to relay customer feedback and ensure client satisfaction
•Assisting Project Managers:
•Support project managers in planning, execution, and monitoring of projects
•Assist in preparing project documentation, reports, and presentations.
•Assess project requirements, identify risks/issues, and recommend solutions for managerial decision-making.
•Maintain accurate and up-to-date project information in various databases and systems
•Generate and analyze reports to track project progress and identify potential issues
•Foster effective communication and collaboration between project managers, field teams, and other departments to deliver integrated solutions with minimal risk and timely issue resolution.
•Assist in organizing and conducting team meetings, ensuring that all stakeholders are well-informed
•Provide project support for operations and documentation.
•Champion continuous improvement by capturing lessons learned and implementing process enhancements for future engagements.
•Provide general administrative support to the project management team, including organizing meetings, managing calendars, and handling documentation
Minimum Requirements:
•Associate degree in related field preferred (Architectural Technology, Civil Engineering Technology, Construction Management Technology, Engineering Technology (Mechanical/Electrical), or alternately 10 years demonstratable experience in equivalent position in the A/E/C industry.
•Minimum 2 years related project coordination experience working in an Architecture/Engineering environment.
•Have excellent written and verbal communication skills
•Possess interpersonal and team skills that allow you to work both independently and as a team member with multi-national staff and teams.
•Able to handle ambiguity and drive things to completion with minimal oversight.
•Possess strong organization skills, have the capacity to handle multiple tasks and projects concurrently while demonstrating ability to prioritize workload.
•Able to recognize information deficiencies while having the ability to problem-solve and fill information gaps when needed, and comfortable seeking concurrence on conclusions from senior staff or peers.
•Ownership of quality and accuracy of own work.
•Desire to improve own knowledge and capabilities.
•Possess intermediate to advanced skills in Microsoft Office products, primarily Word, Excel, and PowerPoint
•Basic understanding of scheduling principles and software, or desire to learn, including Microsoft Project.
•Present a superior level of professionalism and discretion in all interactions, both internally and externally to the organization.
