The Project Coordinator will play a key role in supporting the Project Delivery department by managing smaller projects, assisting project managers on larger initiatives, and ensuring the smooth execution of day-to-day project operations. This position provides an excellent opportunity for career development, with a clear path to grow into a Project Manager role.
The ideal candidate is highly organized, detail-oriented, and proactive, with strong communication and problem-solving skills.
· Assist Project Managers in planning, executing, and tracking project activities.
· Develop project schedules, track milestones, and update project plans.
· Document project status, meeting minutes, and action items for ongoing projects.
· Manage smaller, low-complexity projects end-to-end, ensuring successful delivery on time, within scope, and budget.
· Coordinate with internal teams, vendors, and stakeholders as needed.
· Identify risks or roadblocks and escalate issues appropriately to ensure project success.
· Coordinate site visits with clients as required. This may require international travel.
· Prepare project-related reports and dashboards for project managers and leadership.
· Maintain accurate and up-to-date project documentation, ensuring data consistency.
· Track project costs, budgets, and resource utilization.
· Support project managers with resource scheduling, task assignments, and workload balancing.
· Collaborate with team members to monitor task progress and resolve bottlenecks.
· Contribute to streamlining processes within the project delivery team.
· Assist in implementing tools, templates, and systems to enhance team efficiency.
· Champion new initiatives with our recently rolled out ERP system (ZohoOne) to improve cross-company communication and departmental efficiencies.
· Maintain regular communication with internal and external stakeholders.
· Respond to stakeholder inquiries and coordinate project-related follow-ups.
· 0-3 years of experience in a project coordinator, project support, or administrative role within a project-based environment.
· Strong organizational skills and attention to detail.
· Excellent communication skills, both written and verbal.
· Desire to succeed in a dynamic, progressive organization.
· Proven experience in working successfully in a team environment.
· Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
· Proficiency in Project Management tools (e.g., Microsoft Project, Smartsheet, Asana, Trello, or similar).
· Experience with AutoDesk Suite an asset (Inventor, AutoCAD, NavisWorks, Revit)
· Bachelor of Applied Science or Engineering an asset.
· Familiar with noise and vibration measurement methods and standards an asset.
· Exposure to project management methodologies (e.g., Agile, Waterfall).
· Knowledge of budgeting, scheduling, and resource management.
· A desire to pursue a career in project management (PMP, CAPM, or similar certifications are a plus).
· Ability to work effectively in a fast-paced, collaborative environment.
· Ability to effectively and efficiently handle conflicts.
This role is designed as a stepping stone toward a Project Manager position. Candidates will gain valuable experience in managing projects, working with stakeholders, and understanding project delivery methodologies.
