An industry-leading midstream and infrastructure organization is seeking a
Vendor Maintenance Specialistto support day-to-day supplier maintenance operations. This role ensures accurate, compliant vendor data while coordinating with Accounts Payable and Procurement teams to maintain seamless processes across the organization.
The ideal candidate will have excellent attention to detail, strong communication and organizational skills, and previous Oracle experience. Proficiency in
Microsoft Excelis required.
- Respond to supplier inquiries via phone and email regarding vendor setup and maintenance in a timely and professional manner
- Build and maintain positive working relationships with internal stakeholders and external suppliers
- Enter new vendor information and update existing vendor records, ensuring accuracy and complete documentation
- Assist with annual 1099 preparation and reporting activities
- Track, monitor, and document key business initiatives related to vendor data
- Troubleshoot system-related issues impacting vendor records and support end users as needed
- Maintain and update process documentation and procedural guides related to vendor maintenance activities
- Interact with a wide range of stakeholders with professionalism, tact, and courtesy
- Communicate clearly and effectively, both verbally and in writing
- Maintain reliable attendance and consistent performance standards
- Adhere to safety standards related to personnel, systems, and company assets
- Perform additional daily, weekly, monthly, or project-based tasks as assigned
- Intermediate proficiency in Microsoft Office applications, including Excel, Word, and Outlook
- Valid driver’s license with an acceptable driving record (for occasional travel, if required)
- Strong attention to detail and analytical skills
- Effective written and verbal communication abilities
- Solid clerical and basic accounting skill set
- Ability to manage multiple tasks and meet strict deadlines
- Strong organizational and prioritization skills
- Ability to work collaboratively within a team environment
- Ability to follow established procedures, schedules, and workplace guidelines
- Associate’s degree in Business Administration or a related field
- Previous experience working with Oracle applications
