JOB SUMMARY
The Payroll and Accounting Specialist is responsible for the accurate and timely processing of weekly union payroll, including certified payroll reporting in compliance with federal, state, and local laws and regulations. This role ensures union wage rates, fringe benefits, and job classifications are correctly applied and reported, supporting a smooth payroll operation in a fast-paced construction environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
•Process weekly union payroll for field and employees, ensuring accuracy in hours, rates, and deductions..
•Review timesheets, job cost codes, and work classifications for accuracy before processing payroll.
•Prepare certified payroll reports in accordance with Davis-Bacon Act and prevailing wage requirements for public works projects.
•Work closely with project managers, superintendents, and field foremen to verify labor hours and resolve discrepancies.
•Respond to employee inquiries regarding payroll, deductions, and union benefits.
•Maintain up-to-date union wage sheets and ensure compliance with multiple collective bargaining agreements (CBAs).
•Ensure accuracy in fringe benefit allocations to various union trust funds.
•Submit fringe benefit reports and payments to appropriate union funds in a timely manner.
•Assist with quarterly and annual tax filings and year-end W-2s.
•Maintain confidentiality and compliance with all company and regulatory policies.
•Assist in audits, including DOL, union, and internal financial audits.
•Assist in responding to Verification of Employment requests and Unemployment audits.
•Support the Finance Department in other various duties.
Required Skills/Abilities/ Qualifications:
•3+ years of experience in payroll processing, preferably in construction or unionized environments.
•Associate or bachelor’s degree in accounting, Business Administration, or related field preferred- Equivalent experience will be considered.
•Strong understanding of certified payroll requirements, Davis-Bacon, and prevailing wage laws (Preferred).
•Experience working with union CBAs and multi-union payroll preferred.
•Proficient in payroll software (e.g., Viewpoint, Foundation, Sage, ADP, or similar).
•Detail-oriented with strong organizational and time management skills.
•Excellent communication and interpersonal skills.
•Strong analytical skills with attention to detail and accuracy.
•Ability to work collaboratively across teams and communicate financial concepts effectively.
•Problem-solving mindset with the ability to identify process improvements.

Job Type: Full-time scheduled for 40 hours, OT only as necessary.
Work Location: On-Site in Pacific, MO: Relocation or reliable commuting required.
This role is not eligible for a "Remote" working schedule.
