Main Responsibilities
•Sourcing, quoting, and purchasing of parts and materials and finding alternative options as required.
•Establishing and maintaining the necessary minimum and maximum inventory levels.
•Ensuring all stock items are placed in a timely and accurate manner in designated areas.
•Properly securing all products and maintaining measures to ensure proper inventory control.
•Assist with managing oil and fuel tank levels and refills smaller containers from bulk supply.
•Leading the year-end inventory and audit process, including monthly adjustments and regular checks.
•Continuously monitoring and updating the parts database and supplier database.
•Creating new products/parts within the tracking system, ensuring accuracy of data and up to date pricing.
•Performing monthly inventory adjustments, as requested.
•Creating and issuing detailed, accurate, and complete purchase orders to vendors.
•Ensuring appropriate and accurate cost allocation and location codes are included on all purchase orders.
•Managing all stages of the purchase order process.
•Obtaining and conveying recommendations from suppliers to substitute items.
•Informing internal clients where back orders are present and maintaining communication until receipt.
•Arranging returns and exchanges, as needed, and following up to ensure appropriate corrective measures.
•Executing Minor Repair quotes and ensuring that customers receive these quotes in a timely manner.
•Follow up on Minor Repair quotes and follow through on completion.
•Obtaining SDS sheets for all products and maintaining up-to-date database, sharing SDS with Health & Safety Department.
•Other tasks and responsibilities as may be required from time to time consistent with the growth and development of the organization and the position of Parts Representative.
Shipping and Receiving Responsibilities
•Inspecting and verifying all incoming goods for accuracy and condition, escalating non-compliant shipments as needed.
•Loading/Offloading of material with forklift.
•Coordinating returns and/or replacements while keeping all stakeholders informed.
•Assisting with inventory control maintenance, including all count cycles and necessary adjustments.
•Maintaining accurate records of daily activities, including all relevant documentation for deliveries, shipments, and internal distribution of goods.
•Tracking and verifying delivery of all incoming and outgoing shipments.
•Quality Assurance of Genset units and/or material being received or being shipped to various project sites.
•Resolving any vendor and customer issues as they arise.
•Managing the binning process, including accurately labelling products, ensuring quality of received materials, and picking for work orders in a timely manner.
•Communicating with internal departments regarding receipt of orders.
•Ordering and processing all standard bulk items for their location.
•Issuing purchase orders as needed and maintaining accurate system records.
•Housekeeping of the shipping/receiving area.
•Other duties deemed necessary and reasonable by management, as assigned.
What You Need (Requirements)
•3+ years of experience in warehousing, shipping, and receiving, and/or parts.
•Ability to obtain and renew valid forklift certification.
•Ability to multi-task and manage competing priorities in a fast-paced environment.
•Strong customer service, communication, and interpersonal skills.
•High level of accuracy and attention to detail required.
•Advanced computer skills and expertise in MS Office applications.
Working Conditions
•Working in a warehouse environment with exposure to noise, dirt, dust, odors, and all outdoor weather conditions.
•In the case of a power outage or declared State of Emergency by any level of Government, be available for work.
•Safe handling of dangerous goods.
•Physical labor required to load/unload and organize materials.
•May be required to lift/carry up to 50 lbs.
•Occasional changes in schedule may be required for special projects.
