Position Summary:
The Parts & Dispatch Coordinator plays a key internal support role within our plumbing and HVAC team. This position is responsible for coordinating daily technician schedules, managing parts inventory, and ensuring that field crews are fully equipped and prepared to complete jobs efficiently. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced, service-driven environment.
Shift:
This is a 6:00am to 2:30pm shift (not including training hours)
Key Responsibilities:
Scheduling & Dispatch:
Coordinate and manage daily work schedules for service technicians
•Prioritize jobs based on urgency, technician availability, and location
•Communicate with technicians throughout the day to adjust schedules as needed
•Ensure job tickets are accurate and complete before dispatching
Inventory Management:
Track parts and material usage to ensure proper stock levels
•Receive, organize, and label inventory deliveries
•Maintain clean and organized parts storage areas and vehicles
•Coordinate with vendors to order and restock supplies as needed
Field Operations Support:
•Prepare job packets including work orders, permits, and material lists
•Assist technicians with locating parts or tools needed for specific jobs
•Monitor equipment and tool check-outs/returns
Administrative Duties:
Update customer management and dispatching systems (e.g., ServiceTitan, Housecall Pro, etc.)
•Record inventory movements and reconcile physical stock counts
•Support office staff with other operational tasks as needed
Qualifications:
•Previous experience in a scheduling, inventory, or office coordination role (HVAC/plumbing industry preferred)
•Strong organizational and multitasking skills
•Basic knowledge of HVAC/plumbing parts and terminology a plus
•Comfortable using scheduling and inventory software
•Clear communication and teamwork skills
