We are a very small company that is going through a building phase. We are seeking a dedicated and organized Office Assistant to join our team. This role is crucial in ensuring the smooth operation of our office environment. The ideal candidate will possess strong administrative skills, excellent customer service abilities, and a proactive approach to office management. This position requires multitasking and effective communication skills, as you will be the first point of contact for clients and visitors.
- Manage front desk operations, including greeting visitors and answering inquiries.
- Handle multi-line phone systems with professionalism and courtesy.
- Perform data entry tasks accurately and efficiently.
- Assist with filing, organizing documents, and maintaining office supplies.
- Support administrative functions such as calendar management and scheduling appointments.
- Provide customer support by addressing client needs and resolving issues promptly.
- Utilize Microsoft Office and Google Workspace for various tasks, including typing documents and creating spreadsheets.
- Conduct proofreading of documents to ensure accuracy and clarity.
- Maintain confidentiality of sensitive information in accordance with company policies.
- Collaborate with team members to enhance office efficiency and workflow.
- Proven experience in an office environment or similar administrative role.
- Proficiency in QuickBooks is a plus but not mandatory.
- Strong computer literacy, including familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
