The Office Administrator is responsible for coordinating certain business activities and operations to ensure efficiency and compliance with our processes. We count on this position to help support all area-related functions such as onboarding of new team members, payroll, billing, AP, AR and project support as needed.
· Help pull permits as needed for given projects
· Manages activities requested by leadership such as ordering Christmas presents, quotes for any building issues, ordering flowers, etc.
· Gathers pricing from vendors and sub-contractors for bidding and project needs. Also perform audits on vendors to make sure we are charged the correct rates
· Helps collect time from crews to be sent to payroll and monitors accuracy for time being charged to the correct project
· Leads efforts around billing to make sure things are accurate and being billed on time.
· Helps manage all AP & AR related activities
· Keeps inventory of supplies and orders office and cleaning products as needed.
· Helps with dig tickets as well as relocates upon field employee’s requests – 1 hour or 24 hour
· Proven experience as an Office Administrator or relevant role.
· Proficient in MS Office – specifically Excel and Word.
· Ability to work as a team and collaborate with others.
· Ability to work independently and meet tight deadlines, with minimal supervision.
