The Opportunity

Vermilion Energy has an exciting opportunity within the Operations Business Unit, seeking a full-time (40 hours per week) Office Administrator in Harlingen. You will report directly to the HR Manager and be an integral part of the Harlingen Office Team. The Office Administrator will ensure smooth daily office operations at both the Harlingen and Field Offices, providing administrative, logistical, and HSE support across teams. This role demands strong organizational abilities, effective communication skills, and the capacity to manage multiple tasks simultaneously, all while ensuring budget control and consistency across operations.

What you will do

Act as the main contact for all office-related matters (internal and external)
Oversee office upkeep, maintenance, and cleanliness in coordination with cleaning staff
Manage mail, courier services, phone reception, and general administrative support
Coordinate office supplies, catering, and equipment purchases within budget
Support teams with meetings, travel, presentations, and parking arrangements
Liaise with leadership and other office administrators to ensure consistency and smooth operations
Arrange onboarding, farewell processes, and employee gifts
Track and manage inventory for office and safety supplies (PPE, kitchen, stationery, etc.)
Handle petty cash, fuel cards, NS travel cards, postage machine, and intercom/gate access
Maintain vendor relationships and manage facility contracts (e.g., cleaning, Fruitful Office, CWS)
Support HSE administration, including onboarding, ERP phone support, and emergency response
Assist with monthly reporting (KPIs, meals), and coordinate breakfast/lunch orders
Work with the Garijp office to align processes across locations


What you will bring

MBO or HBO-level education, or equivalent practical experience
5+ years of experience in office administration or a similar support role
Experience coordinating office operations, facilities, or administrative processes preferably within the energy or industrial sector
Strong organizational skills with the ability to manage multiple priorities efficiently
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
A proactive and hands-on approach
A service-minded attitude with a strong sense of reliability and professionalism
A flexible team player who is comfortable in a dynamic environment
Awareness of Health, Safety, and Environmental (HSE) practices, with a willingness to uphold safety standards
