In the Merchandising Clerk role, you will provide accurate, timely, and farmer-friendly commercial accounting support by (1) processing grain settlements, (2) creating and sending customer invoices, and (3) serving as a reliable liaison to growers, merchandisers, logistics, and AR/AP. Success is measured by speed and accuracy in settlements and invoices, clean issue resolution, and on-time close.

Pay Rate/Range: $20.00-$25.00/hr.

Key Responsibilities

Process Grain Settlements

- Create accurate producer settlements from scale tickets and contracts; ensure discounts/deductions and state assessments are applied per SOP.

- Post settlements in the ERP/commodity accounting stack (Business Central settlement extension) and attach documentation to the PO/invoice record.

Invoice Customers

- Generate and send AR invoices within SLA after shipping/billing triggers.

- Ensure 3-way match with contract / scale ticket / invoice and proper revenue cutoff.

Farmer & Customer Communication

- Serve as first-response for growers on settlement questions, and for customers on invoice details; route complex items to merchandisers or controller as needed.

- Maintain clear, courteous communications, especially during harvest and close.

Period Close Support

- Hit daily/period-end milestones (EOD settlements, AR/AP cutoffs), reconcile in/out logs vs. ERP, and support bank reconciliations as scheduled.

Data Integrity & Controls

- Maintain documentation, naming, and attachment standards; follow SOPs; ensure settlements/invoices are uploaded or linked properly; uphold control points.

Issue Resolution & Continuous Improvement

- Triage ticket/contract mismatches, pricing discrepancies, and returns; escalate per playbook.

- Contribute ideas to reduce manual effort in settlements/invoicing flows.

Specific Measures of Success

- Settlement Turnaround: Enter producer settlements within 1 business day of receiving complete upstream documentation. Target =95% on-time.

- Invoice Turnaround: Create and send customer invoices within 1 business day of the sales order/ship confirmation. Target =95% on-time.

- Accuracy (First-Pass): ~0.3% corrections on settlements/invoices (items requiring reissue/credit due to operator error).

- Cutoff Discipline: Hit all EOD settlements and AR/AP cutoffs per close calendar; zero late tasks attributable to this role.

- 3-Way Match Compliance: = 99% documented match of contract / scale ticket / invoice for invoiced loads; exceptions documented with approver sign-off.

- Aging/Disputes: All grower and customer issues acknowledged same business day; ~90% resolved within 3 business days; open items tracked to closure.

- Documentation Quality: 100% of settlements/invoices have required attachments and are linked in the ERP.

Requirements:

Required:

- Working knowledge of basic accounting (AP/AR) and documentation.

- High accuracy and data entry speed; Excel/Office proficiency.

- Service orientation toward growers and customers.

- Ability to meet daily SLAs and close deadlines.

Preferred:

- Experience with grain/commodity settlements, scale tickets, and contract application.

- Familiarity with Business Central, settlement layouts, and ERP attachments.
