Payroll Clerk Job Description
Helix ESG seeks a dynamic and talented Payroll Clerk out of our Houston corporate office. Under the supervision of the Payroll Supervisor, the Payroll Clerk will process Payroll for multiple entities on a bi-weekly schedule to include special payrolls.
Primary Duties & Responsibilities
- Oracle Time & Labor and Oracle Payroll Systems.
- Process in-house Payroll for multiple companies (bi-weekly & special payrolls) on Oracle Payroll.
- Handle Quick Pays and employee maintenance entries in Oracle.
- Oracle production mailer verification (new hires, terminations, changes, etc.).
- Manage time entry for offshore employees in Oracle Time & Labor (OTL) and verify team members' time entries.
- Monitor timecard audit and resolve timecard discrepancies on a weekly basis.
- Setup/maintain/stop child support / garnishments / levies, etc. on employee records within Oracle.
- Run pre-payroll audit reports. Transfer time from OTL into BEE (batch element entry).
- Run OT explosion programs, then validate & transfer OTL BEE batches into Oracle Element Entries.
- BEE entries (adjustments, special pay, etc. anything needed that doesn’t get picked up from OTL), research, preparation, entry, validate and transfer to element entry.
- Run payroll processes for all companies/payrolls.
- Run & Audit payroll register, rollback if needed, make corrections, and rerun payroll and register.
- Run post-payroll audit reports. Run various post-payroll processes.
- Run check writer and print checks.
- Run NACHA file and transfer to bank. Run check writer for 3rd party checks and print.
- Run deposit advices and print as needed.
- Run and upload positive pay file for bank accounts. Stuff and mail checks and deposit advices.
- Prepare paperwork for paying taxes, pay federal and state payroll taxes, tax balancing spreadsheet entry/validation.
- Run final versions of payroll reports for electronic documentation.
- Monitor and manage internal Helix PayrollCorp communications, including emails, mail, and phone calls, as well as your own emails.
- Verify employment (VOE), conduct research, complete verification requests, and respond accordingly.
- Sea-time Letters as requested.
- Monitor child support, garnishments, tax levies, and similar transactions, including receiving, tracking, researching, setting up, and notifying the appropriate authorities when necessary.
- Assist with audit and legal requests, ensuring all required information is provided accurately and within the specified deadlines.
- Review and accurately record earnings and tax implications for stock-related transactions, including stock exercises, stock options, restricted stock units (RSUs), and other equity-based compensation, ensuring compliance with applicable tax laws and company policies.
- Assist with offshore shadow payroll, handling payroll OTL entries, payroll processing and deductions for international locations like Singapore and the UK.
- Assist with Oracle testing and documentation efforts for system upgrades, patches, and configuration changes, ensuring all modifications are thoroughly evaluated, properly documented, and align with system requirements and best practices.
- Assist with month-end accruals, quarter-end, year-end reconciling, reporting, and filing.
- Provide backup support for team members during absences or as needed.
- Monitor the organization, filing, and secure storage payroll documents, ensuring proper documentation procedures are followed for easy retrieval and compliance with company policies and legal requirements.
- Assist with special projects as they arise.
Education
High School Degree or Equivalent GED.
Experience & Skills
- Minimum of 4 years of hands-on experience in payroll processing, with a strong focus on in-house payroll administration.
- Proficiency in Microsoft software (Word, Excel)
- Demonstrated expertise in processing payroll for a variety of employee types (e.g., salaried, hourly, daily) and ensuring accurate and timely payroll distribution.
- In-depth understanding of federal, state, and local payroll tax laws and compliance regulations (FLSA, garnishments, tax withholding, etc.).
- Experience with wage and hour calculations, benefits deductions, and adjustments, and the ability to oversee complex payroll scenarios, including commissions, bonuses, and overtime.
- Experience with year-end payroll processes, including W-2 preparation, tax filings, and reconciliation of payroll-related accounts.
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Ability to work under pressure and meet deadlines, especially during peak payroll periods or year-end processing.
- Proven record of working with employee records, ensuring accuracy, confidentiality, and maintaining up-to-date payroll data.
- Ability to collaborate with HR, accounting, and other departments to resolve payroll-related issues and inquiries promptly.
