Position Title: Medical Office Manager

Location: Green River, WY

Position Summary:

The Medical Office Manager for WE Soda is responsible for overseeing the daily administrative and operational functions of the onsite medical and occupational health clinic.

This role ensures efficient workflows, regulatory compliance, exceptional employee experience, and coordination between clinical staff, HR, Safety, and operational leadership.

The Medical Office Manager provides leadership, financial oversight, and continuous process improvement to maintain a high-performing, compliant, and service-focused medical operation that supports employees and site business needs.

Activities:

Operations Management

- Oversee day-to-day clinic operations, including scheduling, patient flow, and front-office functions.

- Ensure efficient workflows between providers, nursing staff, HR, Safety, and operations.

- Maintain organized, accurate, and compliant medical and occupational health records.

- Manage medical office supplies, pharmaceuticals, and equipment in accordance with company policy and regulatory requirements.

- Coordinate with clinical provider the clinic coverage, provider schedules, and after-hours or on-call support as required.

- Support occupational health programs including surveillance exams, regulatory testing, return-to-work clearances, and preemployment.

- Coordinate initial injury reporting and ensure timely entry into the workers’ compensation system.


Staff Leadership & Supervision

- Foster a positive, service-driven team culture aligned with company values and expectations.

- Ensure staff adherence to company policies, confidentiality standards, and professional practices.


Compliance, Risk Management & Workers’ Compensation

- Ensure compliance with HIPAA, OSHA, MSHA, workers’ compensation regulations, and all applicable federal and state requirements.

- Maintain strict confidentiality of employee medical and injury-related information.

- Oversee and manage all workers’ compensation cases from initial report through closure.

- Coordinate post-injury care, treatment plans, and communication with providers and adjusters.

- Partner with HR, Safety, and supervisors on injury investigations and documentation.

- Manage return-to-work and transitional duty programs in alignment with medical restrictions and business needs.

- Monitor claim trends and support initiatives to reduce workplace injuries and claim costs.

- Develop, implement, and maintain clinic policies, procedures, and standard operating procedures.

- Coordinate internal and external audits, inspections, and regulatory reporting.


Financial & Administrative Oversight

- Manage clinic budget, expenses, and cost controls.

- Review and monitor vendor contracts, medical services, and workers’ compensation-related invoices.

- Track and report clinic metrics including visit volume, injury trends, OSHA, MSHA, recordables, and claim activity.

- Prepare operational, compliance, and workers’ compensation reports for leadership.


Employee Experience & Support

- Ensure professional, timely, and respectful service for all employees and visitors.

- Provide clear guidance to employees regarding injury care, workers’ compensation process, and return-to-work expectations.

- Address concerns, complaints, and service recovery promptly and professionally.

- Maintain a clean, organized, and welcoming clinical environment.

- Support wellness initiatives, occupational health programs, and employee education.

- Serve as a key liaison between clinic services, HR, Safety, operations, and leadership.


Skill, Capability and Educational Requirements:

- Associate or bachelor’s degree in healthcare administration, business, or related field preferred.

- 3–5+ years of medical office, occupational health, or healthcare management experience.

- Experience managing workers’ compensation cases and return-to-work programs strongly preferred.

- Strong knowledge of medical office operations, regulatory compliance, and documentation standards.

- Leadership and team management experience required.

- Strong organizational, communication, and problem-solving skills.

- Ability to maintain strict confidentiality and exercise sound judgment.
