THE POSITION
Reporting to the Compliance Manager and working closely with the Legal, Compliance, and Accounting teams, the Legal Administrator is a key support role within our organization. As part of a dynamic mid-sized oil and gas company, this position involves providing proactive administrative and coordination support to help ensure the effective delivery of legal, regulatory, and corporate governance functions.
This role requires strong organizational skills, attention to detail, and the ability to manage competing priorities across departments such as Legal, Accounting/ Finance, Land, and Operations.
Key Responsibilities:
•Provide comprehensive administrative support to the Legal, Compliance, and Accounting functions.
•Draft, format, proofread, and finalize legal correspondence and documentation.
•Manage document workflows and ensure proper tracking, version control, and filing.
•Coordinate approvals, and signatures, as needed.
•Organize and maintain both physical and electronic legal files, including corporate records and minute books..
•Managing legal trackers, signature folders, contract logs, and filing calendars.
•Liaise with other departments to support regulatory and legal document requirements (e.g., Land, Operations, Accounting).
•Maintain confidentiality of sensitive materials and ensure compliance with internal policies and procedures.
•Provide administrative coverage for legal, accounting and other administrative team members as needed.
THE INDIVIDUAL

Qualifications & Skills:
•3+ years of experience in a legal administrator, executive assistant, or legal support role—ideally within an in-house legal department or corporate setting.
•Certificate or diploma in Legal Administration, Office Administration, or a related field.
•Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
•Familiarity with legal databases, CORES, SEDAR, or SEDI filings is an asset.
•Applicants appointed as Notary Public may be given preference.
•Experience supporting board/committee processes or compliance teams is a plus.
•Strong written and verbal communication skills.
•High attention to detail and organizational skills.
•Ability to prioritize and manage multiple deadlines.
•Discreet, professional, and comfortable handling confidential or sensitive information.
•Collaborative and responsive, with a strong ability to support cross-functional teams.
