We are seeking a dynamic and organized HVAC and Plumbing Office Manager and Staff member to lead our administrative operations and support our technical teams. - Oversee daily office functions, including front desk operations, multi-line phone systems, and calendar management to ensure seamless communication and scheduling.
- Supervise administrative staff, providing training, development opportunities, and performance feedback to foster a motivated team environment.
- Manage vendor relationships, including scheduling service appointments, negotiating contracts, and ensuring timely delivery of supplies and services.
- Handle bookkeeping tasks such as invoicing, QuickBooks data entry, payroll processing, budgeting support, and maintaining accurate financial records.
- Coordinate event planning for company meetings or community outreach initiatives to enhance team engagement and visibility.
- Maintain organized filing systems for documents related to human resources, medical office management (if applicable), and general office records.
- Support human resources functions including onboarding new employees, managing time-off requests, and ensuring compliance with company policies.
- Assist with office supply inventory management and procurement to optimize operational efficiency.
- Ensure excellent communication through phone etiquette, clear documentation, and effective organizational skills across all departments.
- Proven supervisory experience in an office environment with a focus on team management and staff development.
- Strong background in administrative roles within HVAC or plumbing companies is highly preferred.
- Proficiency in QuickBooks for bookkeeping, payroll processing, and financial reporting is required.
- Experience with schedule management tools and vendor management processes is essential.
- Demonstrated ability to handle clerical tasks such as filing, calendar coordination, and multi-line phone systems efficiently.
- Familiarity with human resources procedures including onboarding, training & development programs, and employee relations.
- Prior experience managing medical or technical office operations is a plus but not mandatory.
