About the Health and Welfare Plan Administrator Position
As the Health and Welfare Plan Administrator, you will be responsible for the day-to-day administration of Colonial’s Health & Welfare and Wellness programs, including, but not limited to Medical/Pharmacy, Health Savings Account, Dental, Vision, Life and AD&D, Disability, Flexible Savings Account, COBRA, Service Awards, Wellness Incentive/Challenges, Employee Assistance Program, and Leave of Absence Programs. This position collaborates with HR Business Partners, Talent Acquisition, Payroll, vendors, and consultants to proactively administer benefits plans including customer services, eligibility, plan provisions, plan changes, terminations and the administration of legacy retiree insurance and disability plans. The Health and Welfare Plan Administrator also serves as a collaborative resource providing data integrity, performing data audits during system implementations, and reviewing the data flow to/from vendors for accuracy. This role will scrutinize current processes and procedures for potential opportunities for improvement and will work in partnership with the Workday Team/vendors to identify and effectively resolve issues that may periodically arise with data file integrations.
What You Get to Do:
•In conjunction with the Manager of Benefits, assures that the Company’s benefits plans, programs, and systems are effectively implemented and administered. This is inclusive of but not limited to Health & Welfare (H&W), wellness initiatives and leave of absence programs.
•Function as the employee advocate for all H&W, wellness programs and ancillary benefit matters.
•Serves as the primary point of contact for employee H&W issues such as limited service, claims, and eligibility with Colonial benefits vendors.
•Facilitates the successful and timely resolution of escalated benefit issues and manages employee death, disability claims, and other claims as needed.
•In collaboration with the Manager of Benefits, ensure communication relating to benefits is accurate and appropriate.
•Create onboarding resources to aid in the education of new recruits throughout the year, as well as taking an effective role in the delivery of key information during the annual enrollment process.
•Obtain and review monthly vendor/broker reporting to ensure claims and expenses are reported correctly and relayed to Finance in a timely manner.
•Utilize the reporting system to reconcile and submit monthly invoices in accordance with contractually prescribed deadlines.
•Assists with regulatory reporting requirements by ensuring H&W, Wellness and FMLA plans comply with regulations.
•Actively engaged in the company-wide coordination of the annual Open Enrollment (OE) activities. This is inclusive of regular attendance in team meetings with vendors(s) and collaboration with internal Colonial resources.
•Direct involvement in the configuration of any plans within Workday, testing of OE functionality within Workday, communications, employee meetings, integration files, reporting, evidence of insurability applications and validation of payroll deductions.
•Serve as a backup for the administration of retiree life claims and reporting.
What You Bring to the Table:
•Bachelor’s degree in business, finance, human resource management, or field of study from an accredited college or university; will consider a combination of experience and/or education.
•Ideally, 5+ years of progressive benefit claims experience, human resources experience or similar experience as a consultant.
•Ability to travel up to 10% of the time to perform other duties as assigned, including periodic travel to company locations to establish and maintain trusted partner relationships across the organization.
•Continuously stays abreast of internal and external workforce dynamics, as well as competitive benefits trends, regulatory matters, and general developments.
•Maintains professional and technical knowledge in all job-related areas by participating in on-the-job training, attending classes, reviewing related publications and periodicals.
