We are seeking a detail-oriented and organized Fleet Administrator to support our fleet operations. This part-time role will be responsible for coding invoices for payment using Vision360 and maintaining accurate vehicle service records in Fleetio. The ideal candidate will have strong data entry skills, familiarity with fleet management systems, and experience in the transportation or logistics industry.
Key Responsibilities:
•Code and process fleet-related invoices for payment using Vision360 in a timely and accurate manner.
•Upload and maintain vehicle maintenance records and documentation in Fleetio.
•Track vehicle service schedules, inspections, and compliance requirements.
•Coordinate with vendors, service providers, and internal departments to gather and verify maintenance and billing information.
•Assist in auditing fleet records for accuracy and completeness.
•Maintain digital and physical filing systems for fleet documents.
•Support fleet reporting and data collection for management review.
•Assist with registration renewals, insurance documents, and compliance paperwork as needed.
•Assist with other administrative related activities outside of fleet as needed.
Requirements:
•Proven data entry experience, preferably in an operations or administrative support role.
•Knowledge of fleet operations and familiarity with vehicle maintenance processes.
•Experience using Vision360 and Fleetio (or similar fleet management platforms) is highly preferred.
•Strong organizational and time-management skills with attention to detail.
•Proficient in Microsoft Office (especially Excel, Outlook).
•Ability to prioritize tasks and work independently in a fast-paced environment.
•High school diploma or equivalent; associate’s degree or relevant certification is a plus.
Preferred Qualifications:
•2+ years of experience in a fleet or transportation-related administrative role.
•Understanding of vehicle maintenance terminology and service procedures.
•Experience working with vendors and service providers.
Work Environment:
•Office-based position with potential for hybrid work depending on business needs.
•Occasional travel to vehicle locations or service providers may be required
