2.0 Reporting Relationships
Directly to the Corporate Facilities Manager and indirectly to the Fleet Manager.
3.0 Position Summary
Provide support to the Corporate Facilities Manager by being the secondary point of contact for all matters pertaining to Fleet related matters. Provides assistance in the development, evaluation and revision of company signage policies, procedures and communications. This position will also support the Fleet Manager in a shared support manner.
4.0 Minimum Requirements
•Minimum 7 years of relevant work experience
•Demonstrate the strictest standards of confidentiality
•Excellent attention to detail and accuracy
•Proficient in SharePoint, MS Word, Excel, PowerPoint, Adobe and Outlook
•Must be able to effectively manage changing priorities and work to strict deadlines
•Excellent written and verbal communication skills
•Strong organizational skills essential, coupled with the ability to multitask
•Ability to work on own initiative, with minimum direction

6.0 Responsibilities
•Update and standardize all Evacuation Plans and incorporate into SharePoint
•Manage and support updates to the Polaris help ticket requests
•Manage DOT Violations, State Inspections and Expiring DQ documents.
•Obtain information for DQ Files, IFTA (Mileage/Permits) & Clearinghouse
•Review & Audit monthly for State Farm (Fleet) EZ Tags (All States) and Sprint bills.
•Administrator for WEX (Gas Cards) & Enterprise – Mkay (Fleet)
•Administrator of Fleet Policy, onboarding of new fleet drivers – Annual MVR
•Administrator for GeoTab & any fleet related issues. (Maintenance, Repairs/Recalls & Transfers)
•Route incoming vehicle accident reports and scan / file appropriately in a TBD SharePoint structure
•Receive, track and trend on Fleet GeoTab system
•Develop and maintain the Facilities Management dashboard on a monthly basis
•Assist both managers with P.O.’s, Expense Reports & all Travel arrangements
•Support, update maintenance systems related to Quality Assurance for Facility & Fleet Department and assist with Purchase Orders
•Other duties as assigned by the Facility & Fleet Manager
