Job Summary:

The Office Manager will oversee all aspects of office and facility management supporting all building functions, ensuring a safe, efficient, and comfortable working environment. This role involves coordinating maintenance activities, managing space allocations, overseeing vendor relationships, and ensuring compliance with safety and environmental regulations.


Duties and Responsibilities:


Manage and oversee maintenance activities, including repairs, inspections, and servicing of equipment and facilities.

Ensure compliance with regulations and standards related to facilities management, safety, and environmental health.

Coordinate with vendors and service providers on facility-related services, such as cleaning, security, and maintenance, and assist with coordinating contracts as necessary.

Enforce safety and security protocols, including fire drills, alarm systems, and emergency procedures. Conduct regular safety inspections and audits to ensure compliance with regulations and best practices.

Monitor budgets for regular and ad-hoc facility-related expenses, ensuring cost-effective operations.

Maintain accurate records and documentation related to facilities management.

Assist with facility-related projects, renovations, office space allocations, layouts, and relocations to optimize space usage.

Serve as a point of contact for employees regarding facility issues, providing timely responses and resolutions, including responding to urgent maintenance calls.

Handle all incoming and outgoing mail and packages.

Provide general administrative support to the leadership team as needed, including coordinating meetings, events, and office activities.


Knowledge, Skills, and Abilities:

Proven experience in facilities coordination, management, operations, and safety regulations.

Strong organizational skills and attention to detail.

Excellent communication and interpersonal abilities; able to communicate effectively with multiple levels of the organization and stakeholders.

Strong work ethic and time management skills.

High degree of flexibility and adaptability to change with business demands.

Ability to work independently and balance multiple priorities.

Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)


Education and Experience:

Bachelor’s degree preferred or equivalent work experience.
3- 5 years of experience in office services and facilities management in a corporate environment.
Professional certifications or training in Environmental Health and Safety, Environmental Services or OSHA-related training is desirable.

The pay for this position ranges from $84,100.00 to $90,000.00, depending on circumstances including an applicant’s skills and qualifications, certain degrees and certifications, prior job experience, market data, and other relevant factors.
