Job Description
Primary Purpose
Creates and executes strategies to ensure the effective operation, maintenance and enhancement of our physical office infrastructure, including in Houston, Port Arthur, other U.S. locations and Singapore. Plans and implements facilities, space planning and physical move management best practices to ensure employee and public safety, cost efficiency, optimum service level, asset management and protection while complying with all applicable laws, regulations and company standards and policies. Serves as a liaison among employees, building management/lessors and outside consultants to resolve facility related needs. Position has both direct and indirect supervision responsibilities extending to employees and third-party vendors performing services for our company. Strategically, contributes to the short- and long-term execution of various business initiatives that may be cross-functional in nature.
Duties And Responsibilities•Coordinates and oversees maintenance, repair, and renovation of buildings, systems, and equipment to ensure optimal functionality and compliance with applicable law, regulation and company standards and policies. Collaborates with cross-functional teams to ensure facilities management integration with other organizational processes, such as safety, security, and sustainability initiatives. Conducts regular inspections and uses predictive maintenance schedules to identify areas for improvement and ensure adherence to quality standards. Requires delivering outstanding customer service in a way that provides a well-maintained, comfortable, and safe working environment.
•Manages budgeting and capital investment expenditure planning and administration with support of the HR Director, including remodels, new construction and major repairs to existing and new facilities. Assists with contract negotiations, manages vendor contracts, and partners with Supply Management as needed.
•Manages company parking programs at required office locations, collaborates with HSS on emergency response and business continuity activities (i.e., building fire drills), manages company office security clearances. Partners with SRE Corporate and building security as needed.
•Executes space planning and move management activities in company office spaces including IT coordination and employee/contractor space allocation. Partners with HR on developing and implementing necessary change management plans. Understands capacity limits and collaborates on physical security considerations and partners with HSS in developing safety programs related to facilities. Partners with company locations to understand business impacts and implements best practices.
•Supports event planning team for functions held in corporate office locations (BOD meetings, customer events, etc.). Ensures execution of facility coordination and set-up (coordinating security, catering, IT, etc.).
•Maintains LEED certification for any applicable locations and supports LEED certification for other locations when requested. Follows application process and provides education to others on LEED program.
•Performs other duties as assigned (no more than 5% of duties).
Requirements
Education
•Bachelor's degree in facilities management, business administration, related field, or equivalent training and/or experience required.
Experience
•8 years of experience in project administration, office/facilities management or related positions required.
•Previous facility/building services experience preferred.
•Previous experience in administering formal purchasing procedures and managing supplier relations, including travel providers preferred.
•Experience leading or directly managing employees, including performance management, training and development preferred.
Knowledge, Skills And Abilities
•Knowledge of workplace health and safety, facility management and security, business resumption and continuity planning.
•Knowledge of laws, codes, regulations, and statutes relating to construction and/or maintenance of buildings.
•Knowledge of resource planning systems utilization for purchasing, workflow, etc.
•Knowledge of budget and capital investment expenditure planning and administration.
•Ability to communicate in a positive and productive manner with managers, peers, subordinate staff, vendors, users, and the general public.
•Ability to manage, oversee, and prioritize multiple technical projects.
•Strong negotiation skills.
