Executive Assistant

We are seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to provide high-level support to our executive team. This role requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be a strategic partner who ensures smooth day-to-day operations and helps drive organizational efficiency.

Key Responsibilities

Calendar & Schedule Management:

- Coordinate and maintain complex calendars

- Schedule meetings, appointments, and events across time zones

- Send reminders and prepare executives for upcoming engagements

Travel & Logistics Coordination:

- Assist with domestic and international commercial travel for executives

- Proactively monitor travel of Executive Committee (ExCo) members visiting North America

- Manage charter flight scheduling and logistics

- Prepare detailed itineraries and manage expense reports

Communication & Correspondence:

- Serve as the primary point of contact between executives and internal/external stakeholders

- Handle confidential information with discretion

Meeting & Event Coordination:

- Coordinate leadership team (Lt) meetings and events

- Support logistics and planning for internal and external engagements

Qualifications

- Proven experience as an Executive Assistant, Administrative Assistant, or similar role

- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

- Excellent written and verbal communication skills

- Ability to prioritize tasks and manage time effectively

- High level of professionalism and confidentiality

- Bachelor’s degree preferred
