Position Summary:
The ESH regulatory compliance administrator is responsible for ensuring operational documentation compliance. This position oversees the documentation and files necessary for a safe, organized, and compliant operation. This includes, but is not limited to, tracking and renewing permits and licenses, maintaining asset maintenance schedules, supporting operations reporting documentation, and streamlining asset information systems. This role plays a crucial part in maintaining organizational efficiency and improving operational productivity through structured reporting and documentation practices.
Essential Job Functions:
Operational Reporting & Documentation Compliance
•Review and update operations policies to ensure compliance with documentation and regulatory requirements
•Coordinate the collection, organization, and evaluation of operational inspections and associated documentation
•Develop and maintain checklists for missing paperwork based on policy requirements
•Generate and distribute weekly deficiency reports highlighting missing operational forms
•Propose redline edits for policy updates when discrepancies or inefficiencies are identified
•Collect, organize, and monitor shoreside and marine environmental records as needed
Asset Maintenance & Equipment Oversight
•Help develop and manage maintenance schedules for all marine and shoreside equipment, including subsystems
•Monitor and track maintenance of shoreside equipment, such as forklifts and fuel trucks
•Oversee inspections and ensure documentation is complete, accessible, and properly filed
Permit, License, and Certification Renewals
•Monitor and ensure timely renewal of all operational permits, licenses, and certifications. Spanning the marine, retail, and ground transportation businesses
•Help maintain 100% compliance with regulatory requirements
•Develops, maintains, and implements regulatory permits required for operations
Asset Information Management
•Consolidate and centralize asset data, including surveys, reports, and insurance documentation
•Support the insurance renewal process by maintaining up-to-date asset schedules and photographs
•Collaborate with internal stakeholders to implement or improve fixed asset tracking systems
Training & Regulatory Compliance
•Manages equipment testing & maintenance at all locations based on standards
•Administers the Driver Qualification and DOT (PHMSA and FMCSA) Program to include processing and maintaining driver and DOT qualification files, generating motor vehicle reports, managing and maintaining the drug and alcohol reports for quarterly reporting, and generating monthly reports to monitor and ensure AES, regulatory, and client requirements
•Processes training records in the learning management and document management systems
•Maintains confidential information in both hard copy and electronic format
•Plan, develop, and monitor inspection programs for facilities and operations to ensure compliance with various USCG, NFPA, OSHA, ADEC, and AWO requirements
•Keeps apprised of federal, state, and local laws and regulations in order to ensure company compliance
•Help maintain corporate safety library (e.g., videos, regulations, reference materials, etc.)

Minimum Qualifications:
•Three (3) years of related experience
•Valid driver's license with a clean driving record
•Strong understanding of policy interpretation and documentation control
•Proficiency in Microsoft programs and asset management software
•Excellent organizational and communication skills
•Experience with ISO 9001 standards is a plus

•Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
•Ability to write routine reports and correspondence
•Ability to speak effectively before groups or employees of the organization
•Ability to read, analyze, and interpret common scientific and technical journals, financial, and legal documents
•Ability to respond to employee requests for information and to deal effectively with members of all levels of the organization
•Ability to write policies and procedures for in-house publication that conform to the prescribed style and format
•Ability to effectively present information to top management
•Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
•Ability to interpret a variety of instructions furnished in written, verbal, diagram, or schedule form
Education:
•Bachelor’s degree (preferred)
•High school diploma, or equivalent
(1 year of directly related work experience may qualify to substitute 1 year of education to meet the education requirement)
Required Training & Certificates:
•Attends training sessions, seminars, and appropriate educational classes required by the department
•Computer skills commensurate with the program and job applications

The noise level in the work environment is usually quiet to moderate but may be loud on occasion. Work is usually done in an office setting and sometimes at a client facility or job site. Work may require occasional weekend and/or evening work. The position supervises exempt, non-exempt, and contracted staff. The employee is occasionally exposed to moving mechanical parts, vehicles, and equipment.
The employee must be able to physically travel by air within and out of the State of Alaska.
