Job Summary:
Ensure the timely and successful delivery of our solutions and services according to client needs by creating efficient routes for technicians. Manage assigned division accounts and ensure scheduling compliance is up to date. Provide excellent customer service.
Duties/Responsibilities:
•Primary point of contact for clients. Build and develop client relationships.
•Manage all client work orders from creation to completion.
•Create work orders as needed in the database to address customer calls.
•Schedule all inspection work orders and create efficient and productive travel routes for inspectors/technicians. Execute confirmation calls the day prior.
•Ensure client accounts & work orders are noted correctly with updates, contact information & site specific notes.
•Manage and maintain daily inspector and technician schedules.
•Schedule service work orders as directed by Service Manager
•Submit requests through the FDNY portal.
•Ability to create, submit and track deficiencies from inspections to ensure they are addressed.
•Perform daily check-ins of previous days work orders.
•Begin the billing process for completed work orders
•Prepare and submit all necessary paperwork for town reports and office reports.
•Maintain and update all internal spreadsheets, calendars and reports regarding assigned division.
•Assist all departments in answering client phone calls when division representatives are unavailable.
•Assist Office/HR manager with projects as needed.
•Assist & partner with assigned Division Service Manager as needed.
•Assist Executive Leadership as needed.
Required Skills/Abilities:
•Minimum 2 years in scheduling/dispatching
•Must be proficient with Office 365 products
•Can navigate database systems
•Strong attention to detail
•MUST have prior experience at scheduling driver routes and using google maps
•Excellent customer service skills
•Experience with multi-phone line system a plus
•Excellent time management skills and ability to meet deadlines
•Flexible and adaptable to change
•Excellent organizational skills and ability to prioritize tasks

Pay: From $23.00 per hour
Expected hours: 40 per week
