Position Summary:
The Dispatch/Receptionist plays a vital role in coordinating the daily operations of our restoration team. This position is responsible for managing incoming calls, scheduling jobs and technicians, providing excellent customer service, and supporting the administrative needs of the office.
Key Responsibilities:
•Answer and route incoming calls professionally and efficiently.
•Serve as the first point of contact for customers, vendors, and team members.
•Dispatch crews to job sites based on urgency, location, and availability.
•Monitor job status and technician progress throughout the day.
•Maintain accurate and up-to-date records in our job management software (e.g., WorkCenter, Xactimate, etc.).
•Coordinate with Project Managers and Technicians to ensure efficient workflow and timely customer updates.
•Assist with basic administrative tasks such as data entry, filing, and document preparation.
•Handle customer inquiries and resolve basic issues or escalate as needed.
•Follow up with customers post-job to gather feedback and ensure satisfaction.
Qualifications:
•High school diploma or equivalent (required).
•1+ year of experience in a customer service, dispatch, or receptionist role (preferred).
•Strong communication and interpersonal skills.
•Ability to multitask and stay organized in a fast-paced environment.
•Proficient with computers and office software (Microsoft Office, CRM platforms, etc.).
•Prior experience in restoration, construction, or a service-based industry is a plus.
