About This Job


Summary of Position:

The Coordinator II, Human Resources supports HR functions by handling tasks and projects across total rewards, recruiting, compliance, and talent development. This role involves collaboration with internal and external stakeholders and requires a high standard of confidentiality and professionalism. This position is responsible for ensuring smooth operations and a positive employee experience in a fast-paced environment. Critical thinking and an open mindset are imperative to successfully supporting both CIVI HR and the broader organization.


Primary Job Responsibilities:


Fulfills the following duties under moderate supervision:

- Serve as the first point of contact to employees for general HR-related questions fielded through the HR phone line or email inbox.

- Maintain and update business-facing HR materials, including organizational charts, new hire biographies, department emails, and the HR intranet (inclusive of content material)

- Assist with pre-employment and onboarding activities to ensure smooth transition for new hires; including, but not limited to, candidate communication, pre-employment paperwork and drug screening, compliance items, and conducting new hire orientation.

- Maintain and update employee records and data in the HRIS system as well as electronic employee files.

- Assist in the development and maintenance of HR documentation and training materials, such as job aids, standard operating procedures and HR-owned policies.

- Coordinate and facilitate HR-owned meetings, presentations and events.

- Prepare and complete data for periodic compliance filings by assigned deadlines.

- Maintain a working knowledge of CIVI HR best practices, policies, and organizational design elements as they relate to specific HR areas such as talent, benefits and compensation.

- Support HRIS efforts by end-user testing, training employees, and basic reporting.

- Contribute to special HR projects and initiatives as assigned.


Technical Skills

- Proficiency with Microsoft Office PowerPoint, Word and Outlook

- Familiarity with HRIS systems and data entry best practices.

- Ability to work on compliance-driven programs with accuracy and attention to detail.

- Excellent written and verbal communication skills.

Education & Experience:

- High School diploma or equivalent required.

- Bachelor’s Degree preferred

- 2+ years’ experience in Human Resources preferred

- Experience with HRIS systems preferred.


Travel & Additional Requirements:

- Location: Work is performed at a CIVI location Monday through Thursday with the option of working remotely on Fridays.

- Schedule: traditional 40-hour workweek or alternative schedule of 9-hour workdays Monday through Thursday and 4-hour workdays on Friday, as business needs allow and with manager approval.

- Travel may be required to other Civitas offices and field locations.

Base Pay Range: $62,000 - $70,000
