We have an immediate opening for a motivated individual seeking a Contracts Administrator role. Successful candidate must be willing to learn and be open to various task assignments while working in a fast paced, high energy environment . Must have the ability to work with integrity and maintain the highest level of confidentiality. This role may evolve over time, and we’re looking for someone who’s comfortable taking on new challenges and responsibilities as needed.
- Reviewing and maintaining contracts, summarizing key terms, and flagging potential risks.
- Create legal compliance requirements dashboard for each customer/vendor.
- Conducting legal research on relevant laws, state and federal regulations, industry requirements, and corporate formation.
- Responsible for management of contracts with customers, vendors, suppliers and partners. This includes contract drafting, execution and analysis, for the purpose of maximizing financial and operational performance and minimizing risk. Negotiate terms and conditions in contracts and ensure organizational compliance. Document changes/amendments during final review and execution of contracts.
- Create and maintain contract database for easy access and retrieval.
- Assist in receiving, organizing, evaluating, reviewing and redlining contracts covering a broad range of transactions including prime contracts, subcontracts, lease agreements and purchase order agreements. The subject matter ranges from engineering, design, procurement, construction and real estate.
- Assist in communicating and managing the contract review and submittal process.
- Assist in the determination of the level of contract review based upon the requests from the business unit.
- Work with the business unit personnel and the attorneys to coordinate the reviews and transmittal of documentation.
- Maintaining strict confidentiality and professionalism at all times.
- Researching and compiling property ownership records and related documents.
- Assisting the owners with executive administrative duties and special projects.
- Supporting other departments with various documentation needs including filing, document prep, and scanning.
Candidate must be able to meet the following requirements:
- High attention to detail, especially when reviewing legal or repetitive documents.
- Strong written and verbal communication skills, including active listening.
- Ability to balance administrative work with legal research and contract review.
- Organized and able to prioritize shifting tasks effectively to meet deadlines.
- Strong judgment and discretion with confidential information.
- Must have a valid driver’s license and reliable transportation with a clean driving record.
- Capable of lifting, bending, light stocking, and prolonged sitting/standing.
- Quality customer service and professional demeanor.
- Strong organization, document control, and research skills.
- Self-starter with the ability to work independently and in a team.
- Ability to follow detailed direction and meet strict deadlines.
- Intermediate proficiency in Microsoft Office (Word, Excel, Outlook).
- Typing speed 50+ WPM.- Prior paralegal or contract review experience strongly preferred.
Applicant must pass proficiency tests for typing, math and Excel before being considered for interview.
