MATT Construction, the General Contractor that built such iconic structures as The Broad Museum and Academy Museum of Motion Pictures, is accepting applications for the Project Administrator role.
The Project Administrator performs a wide variety of administrative duties and functions in support of assigned projects and corresponding project staff including Project Managers, Project Engineers, Superintendents of assigned projects. Ensures smooth and timely execution of construction project documents.

The Role
•Provides a variety of administrative and clerical support to project staff to keep project on track.
•Maintains communication with all parties involved in the project, to ensure timely and accurate completion of duties.
•Oversees all aspects of document control.
•Prepares, processes, and distributes Subcontracts, Change Orders, Purchase Orders, and Professional Service Agreement contract documents and other miscellaneous correspondence when requested.
•Uploads scanned copies of approved/executed Subcontracts, Professional Services Agreements, Purchase Orders, related Change Orders, insurance certificates, bonds and other miscellaneous documents (i.e. Owner Contracts & Change Orders, personal guarantees, etc.) into relevant systems.
•Processes Subcontractor Insurance Certificates, including inputting insurance in relevant systems and collaboration with 3rd party service provider for reviewing & requesting corrections from subcontractors and.
•Assists the Subcontractor Qualifications Coordinator in acquiring MATT Qualifications approval for contract documents (Subcontracts, Purchase Orders and Professional Service Agreements) prior to sending documents to the Subcontractor.
•Reviews and processes Subcontractor Performance & Payment bonds.
•Prepares Project Directories (includes inputting and updating contact information), job site address information and contact specific address information in CMiC Field. Contact maintenance is performed in both CMiC and Procore.
•Prepares and maintains Emergency Contact List for assigned projects.
•May prepare and distribute project Meeting Minutes.
•As required, prepares and distributes Warranty documents, Close-Out Packages, and Certificates of Substantial Completion, and coordinates communication to appropriate parties.

Requirements
•BA Degree in business administration or construction management or equivalent relevant experience
•Previous experience in project management or administration desired
•Microsoft Office Suite (Word, Excel, Outlook, OneNote, PowerPoint)
•Basic knowledge of CMiC, Procore, DocuSign, and myCOI insurance software
•Valid CA Driver’s license (Requires ability to commute to assigned jobsites and/or corporate office)
