Job Summary: We are seeking a highly organized and detail-oriented Construction Project Administrative Assistant to support our project team in the management of day-to-day administrative operations for our construction projects. The successful candidate will assist with payroll processing, invoice payments, and ensure proper documentation and coordination of project-related paperwork. This is a key role that requires a strong understanding of construction processes and office administration.
Key Responsibilities:
Payroll & Financial Administration:
•Process and maintain accurate payroll for construction staff, ensuring compliance with company policies and labor laws.
•Collaborate with the HR department to collect timesheets and verify work hours for hourly workers.
•Maintain payroll records and assist in resolving payroll discrepancies.
•Track and update payroll-related reports and data for internal and external audits. Assist in preparing and submitting payroll tax filings and related documentation.
Invoice Management & Payments:
•Review and verify invoices for construction materials, subcontractors, and vendors.
•Ensure invoices are accurate and reflect proper project costs before processing.
•Prepare and submit payment requests for approval in accordance with project budgets and timelines.
•Work with vendors and suppliers to resolve any discrepancies or payment issues.
•Maintain and update the invoice payment log to ensure timely processing and prevent delays.
Documentation & Paperwork Coordination:
•Assist in preparing and managing construction project documentation, including contracts, change orders, permits, and project schedules.
•Organize and file project-related documents both electronically and in hard copy, ensuring all records are easily accessible.
•Coordinate the completion and submission of required forms, reports, and certificates. Assist with the preparation of project status reports, meeting minutes, and other documentation for internal and client meetings.
General Administrative Support:
•Respond to emails and handle general correspondence.
•Assist office managers with preparing materials for project team reviews.
•Manage office supplies and maintain inventory.
Qualifications:
•Education: Bachelor's degree in Business Administration, Construction Management, or a related field.
•Experience: At least 2 years of administrative experience, preferably in a construction or project-based environment.
Skills:
•Strong proficiency with Microsoft Office Suite (Excel, Word, Outlook) and project management software.
•Excellent organizational and multitasking skills.
•Strong attention to detail and ability to handle confidential information.
•Knowledge of construction terminology and project workflows.
•Ability to communicate effectively with team members, vendors, and clients.

Salary Range:
•Starting salary is $45K - $72K based on experience.
