The Billing, Contracts and Payroll Coordinator plays a dual role, supporting both the financial operations of U.S. payroll and benefits (30%) and the coordination of billing and contract administration (70%). This position ensures accurate payroll processing, benefits administration, and compliance, while also managing contract documentation and billing processes for technical and industrial service projects. The ideal candidate is detail-oriented, organized, and has 2–3 years of payroll experience.
- Manage daily Labor, Equipment, and Material (LEM) tracking and reporting.
- Prepare weekly/monthly progress and forecasting reports (e.g., manpower, costs, flights/lodging).
- Assist in reviewing and organizing service agreements, purchase orders, and amendments.
- Generate accurate invoices based on contract terms and project milestones.
- Resolve billing discrepancies and coordinate with finance for revenue recognition.
- Maintain contract records and support audit readiness.
- Communicate with clients and internal teams regarding billing and contract matters.
- Use ERP and document control systems to manage billing and contract data.
- Process bi-weekly U.S. payroll, ensuring accuracy and compliance with federal/state laws.
- Maintain employee payroll records, including onboarding, terminations, and compensation changes.
- Address payroll discrepancies and support audits with documentation.
- Administer employee benefits, including enrollments, changes, and terminations.
- Coordinate with benefits providers and respond to employee inquiries.
- Support year-end payroll processes and reporting.
- Bachelor’s degree or diploma in business management or similar education.
- Payroll Compliance Practitioner (PCP) or Payroll Leadership Professional (PLP) certificate would be considered an asset.
- 2–3 years of payroll experience, preferably in a U.S. multi-jurisdictional environment.
- Equivalent combination of education and experience may be considered.
- Strong knowledge of employment legislation.
- Familiarity with payroll systems (e.g., ADP) and ERP/document control platforms.
- Strong Excel and Microsoft Office skills; SharePoint experience is a plus.
- Basic understanding of billing, contracts, and financial principles.
- Excellent organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities and maintain confidentiality.
