Overview:
This position is responsible for providing administrative support respective CELT officers. The assistant will handle assignments ranging in complexity and requiring the use of experience, innovation, and judgment. The assistant will plan and conduct work requiring independent evaluation, assume responsibility for contribution to the success of projects, and will exercise autonomy for unreviewed decisions.
Responsibilities:
Primary responsibilities include (but are not limited to):
•Coordinate meetings and events to include offsite events and internal meetings.
•Process all invoices, check requests and purchase requisitions.
•Order office material and supplies.
•Assist with the distribution of company store purchases and mail including customer gifts and employee milestone items.
•Assist and coordinate projects and presentations.
•Direct employees, visitors, and/or customers to the appropriate person according to their nature of business.
•Provide clerical support such as customer mailings, document processing, proof-read, and maintain office documents.
•Prepare routine correspondence, reports and perform data entry as needed.
•Maintain calendars, arrange travel schedule reservations, and compile expense statements.
•Other duties as assigned.
Qualifications:
Minimum:
•High school diploma or equivalent
•6+ years of experience in an executive assistant or similar role
•Ability to maintain confidentiality and handle sensitive information with professionalism and discretion
•Advanced knowledge of Microsoft Office Suite – Outlook, Teams, Word, Excel and PowerPoint with working knowledge of Access and related software
•Ability to embrace change and adapt quickly
•Ability to work in a team environment and collaborate with others
•Strong verbal and written communication skills
•Strong customer service and problem-solving skills
•Ability to prioritize tasks and meet deadlines in a fast-paced environment
•Ability to work independently
Preferred:
•Associate degree or relevant certification
•Executive assistant experience in a corporate or office environment
