ABOUT THE ROLE
The Administrative Assistant serves as the first point of contact for visitors and callers, providing a welcoming and professional presence at the front desk. This role is responsible for managing incoming communications, supporting administrative functions, and maintaining a clean, well-stocked, and inviting office environment supporting both administrative and logistical needs across the organization. The Administrative Assistant ensures a positive experience for guests and contributes to the smooth operation of the workplace.
WHAT YOU'LL DO
- Serve as the primary point of contact: greet and assist all visitors with warmth and professionalism, ensuring smooth day-to-day operations.
- Answer and route incoming phone calls and emails promptly and courteously, ensuring accurate message delivery and follow-up.
- Maintain and manage the cleanliness and organization of the shared office spaces, including inventory and procurement of office supplies, kitchen stock, and equipment, ensuring cost-effective purchasing and consistent availability.
- Manage the relationship with the building manager and maintenance staff to ensure facility-related requests and maintenance issues are addressed promptly to ensure a safe, functional, and collaborative environment.
- Receive, sort, and distribute incoming mail and packages, and coordinate outgoing shipments with appropriate carriers and documentation.
- Schedule and confirm appointments, meetings, and conference room bookings, ensuring efficient use of shared spaces and resources.
- Provide general administrative support including data entry, document preparation, expense reporting, and photocopying as needed by various departments.
- Support and execute org-wide (monthly, quarterly, bi-annual) event planning, including meeting space, catering, and other logistical considerations.
- Collaborate with individual department, as well as cross-functionally with other departments within the organization.
- Maintain organizational excellence in terms of project timelines and deliverables.

- Education: Associate's degree or equivalent years of experience.
- Experience: Minimum of 1-2 years of experience in an administrative role, office management role, or similar.
- Technology: Proficiency with Microsoft Office Suite, and an ability to learn company-specific software programs, tools, processes, and machines.
