To help facilitate our expanding business, Administrative Business Manager (ABM) will assist the Operations Manager and Project Leaders to ensure the availability of project information, materials, equipment, financial data and support in meeting production and administrative demands. ABM manages and communicates the production backlog and guarantees the quality and timeliness of invoicing ensuring the process discipline requirements are maintained.


Responsibilities:

Direct, coordinate and support all project administration records for in house and onsite activities using company software system and documentation folders to maintain completeness of information from order entry to invoice.
Actively communicates with sales and operations team to obtain necessary order/job information required for planning and preparation. Includes directing activities necessary to hand off to operations manager for proper coordination, scheduling and assignment of resources.
Prepares weekly production status reports, manages the production log and monthly accrual. Works with sales team as necessary to support order hand off procedures.
Ensures processing of requisition for material orders to identify suppliers with the capabilities to meet material and equipment needs for shop and field activities. Proactively follows up and resolves issues regarding material and equipment availability and delivery times. Responsible for proper staging of materials and equipment for jobs in progress.
Establishes and maintains master lists for equipment and special tools as well as preventive maintenance and calibration schedules. Ensures preventive maintenance activities are performed as scheduled and testing equipment is properly calibrated. The updated location of equipment is to be maintained using the corporate directed tool tracking system implemented.
Contains material costs by eliminating wasteful practices and implementing appropriate control measures. Compiles and maintains inventory records of quantity, type, and value of material, equipment or supplies in stock.
Ensuring test reports are processed, submitted and reviewed on a timely basis utilizing the corporate test report log.
Reviewing completed job folder documentation for complete and accurate information and actively communicates as needed to create accurate invoicing and quality test reports.
Is responsible for managing the invoicing process and reducing errors and delays to optimize cash flow.
Communicate effective analysis of job costing for determining correct cost roll up in the financial/production systems.
Promotes an attitude of continuous improvement.
Report to supervisor any deviations from instructions given to perform job.
Perform other duties as assigned.


Qualifications:

Bachelor’s degree in engineering, technical, or business field, or 5+ years of experience in Production Control. Equivalent military training in logistics and inventory control is acceptable.
Strong organizational and interpersonal skills with the ability to interact with management, technical staff, suppliers, and customers.
Ability to follow written and verbal instructions and solve practical problems involving multiple variables.
Proficiency in arithmetic functions and accurate hand calculations.
Competence in reading manuals, reports, rules, and procedures; strong spoken English communication skills.
Strong analytical skills to collect data, draw conclusions, and recommend corrective actions.
Intermediate to advanced proficiency in Microsoft Office Suite; experience with SAGE and CRM systems preferred.
Exceptional presentation skills, with a strong customer focus and the ability to effectively convey complex information to diverse audiences.
Excellent organizational, time management, leadership, and decision-making skills, demonstrating a capacity for managing multiple priorities and driving project success.


Other Requirements:

Ability to travel up to 10% throughout the continental USA, reflecting flexibility and commitment to project needs.
Ability to pass a stringent drug screening and background check, ensuring compliance with organizational standards and policies.
Hold a valid and current driver's license with a clean driving record, demonstrating reliability and adherence to safety regulations.

Working Conditions:

The working conditions for this role primarily involve a standard office environment with typical office noise levels. The role requires prolonged periods of sitting, working at a computer, and performing tasks that demand visual acuity for reading and typing. This job may require travel to RMS facilities and other sites.

Physical Requirements:

Physical requirements include the ability to occasionally lift and carry office supplies weighing up to 20 pounds, the capability to move within the office to access files, office machinery, and meeting rooms, and fine motor skills for keyboard use. Proficiency in speaking, hearing, reading, and typing in English is essential for effective communication and documentation.
