The Project & Asset Management team is seeking a detail-oriented Administrative Assistant to support our portfolio of utility-scale solar and energy storage projects. Reporting directly to the SVP of Project Management and Asset Management, this role will be responsible for providing essential administrative, coordination, and operational support that enables the team to operate efficiently and effectively across all phases of project execution and asset operations. This is an exciting opportunity to work in a fast-paced, collaborative environment and gain hands-on exposure to utility-scale renewable energy projects, from construction through operations, while supporting a growing portfolio of assets.
1. Provide administrative support to Project Management and Asset Management team members including
2. Assist with preparation and organization of project- and asset-related materials, reports, and presentations
3. Support document management, tracking, and filing for project and asset documentation, including contracts, warranties, O&M documentation, and compliance records
4. Planning and supporting event organizations such as company or department meetings, lunch/dinner events, and other team building events with external parties
5. Setting up accounts for various facilities – utility, internet, weather stations etc
6. Monitor certain email addresses and forward information to appropriate individuals within the organization
7. Coordinate agreement approval process, document execution, notary requirements, and mailing documents
8. Set up certain agreements in the appropriate portal as requested by the team members
9. Assigning appropriate invoices to the correct individuals and coordinate review of certain invoices by third party consultants
10. Plan travel itinerary and create expense reports
11. Facilitate data collection for various processes
12. Maintain project and asset trackers, contact lists, and internal databases
13. Coordinate internal and external meetings with contractors, consultants, and internal stakeholders
14. Handle time-sensitive administrative tasks critical to project execution and asset operations
15. Undertake other general administrative tasks that may be assigned from time to time
- A bachelor’s degree is preferred
- Experience in the renewable industry is preferred
- 5+ years of experience in an administrative or support role- Strong communication, organizational skills, attention to detail, and ability to operate without much supervision
- Ability to manage multiple priorities in a deadline-driven environment
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe, Teams
- Strong written and verbal communication skills
- Professional, discreet, and service-oriented approach
- Ability to travel 10% of the time and work standard hours that overlap with central time
- Must be legally authorized to work in the US without company sponsorship
