Summary: The Administrative Assistant’s duties include, but are not limited to, generating invoices and entering sales orders, answering phone calls, filing paperwork, assisting with the customer service department, and accounting (entering checks and processing credit cards, and reviewing credit applications, collections).
· Answer phone calls/emails and screen calls in a polite and friendly manner and direct them to relevant staff, taking messages or attending to minor inquiries.
· Assist Customer Service Representatives with order processing and data entry.
· Prepare and distribute routine correspondence, Excel reports, and other written materials.
· Summarize and format large sets of data to create simplicity for the receiving group.
· General office duties: Filing, scanning, and document shredding.
· Resolve customer-related issues via phone and email.
· Other relevant duties as assigned by the Office Manager.
· Familiarity with order entry and manufacturing processes.
· Must also have strong communication (written and verbal) and problem-solving skills, and the ability to multitask.
· Proficiency in Microsoft Office Applications (Word, Excel, PowerPoint) and Outlook required.
· Ability to work well with others in an office environment, possess good work ethics, solid attendance, and a positive attitude.
· Demonstrate excellent organizational, attention to detail, time management, interpersonal, communication, and teamwork skills.
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
