As an Administrative Assistant, you will play a critical role in supporting MAD Energy NW's operations. You’ll ensure projects run smoothly from start to finish by providing vital support to our office staff (Project Managers, Sales Team, Project Engineers, etc.) Your position will be key in ensuring each project is completed efficiently, on time, and meets our high standards.
Administrative Assistant Duties (include, but are not limited to):
● Pull permits and manage the inspection process for projects.
● Schedule utility disconnects/reconnects and dispatch electricians to job sites.
● Work closely with project managers, electricians, and leadership to address project needs and challenges.
● Assist with marketing, including weekly file audits for quality marketing photos.
● Monitor lead volume and conversion ratios, track project progress and generate performance reports.
● Maintain organized project files and documentation using Google Workspace apps (Gmail, Drive, Docs, Sheets, Calendar, etc.).
● Respond promptly and professionally to emails, calls, and other communications.
● Assist with general office tasks and event coordination.
● Ability to complete additional duties as assigned.
● Make regular calls to customers to update them on project statuses, ensure satisfaction, and address concerns.
● Follow up on leads to ensure a smooth customer experience and maximize conversion rates.
● Follow up after project completion to gather feedback and request reviews.
Additional Duties (include, but are not limited to):
● Event Planning: Organize company events, team meetings, and training sessions.
● Learning key components of other team members’ positions so as to accurately provide support and fill in while others are out of office.
● Experience in a similar administrative or project coordination role, preferably in construction, energy, or related industries.
● Proficiency in Google Workspace apps (Gmail, Drive, Docs, Sheets, Calendar, etc.). ● Strong organizational and time-management skills.
● Excellent written and verbal communication skills, with a willingness to make calls and engage directly with customers.
● Ability to manage multiple tasks and prioritize effectively.
● Proactive problem-solving skills and a customer-focused approach.
● Team player mindset with high emotional intelligence.
● Ability to thrive in a fast-paced environment.
● Certified Notary appointment or willingness to obtain this appointment upon employment.
● Experience in the energy, electrical, or construction industries.
● Knowledge of CRM systems or willingness to learn a CRM.
● Experience training staff or onboarding new technologies.
● Familiarity with permitting processes and scheduling practices.

● Set work schedule: Monday 7AM-3PM, Tuesday-Friday 9AM-5PM
● The ability to work from home after training is complete with the exception of mandatory 7AM Monday company meetings and other pre-scheduled in-person meetings.
