Summary
The Administrative Assistant is responsible for providing administrative support to ensure efficient operation of the office.This role involves handling a variety of tasks related to organization and communication, including scheduling meetings, preparing reports, and maintaining appropriate filing systems.The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask effectively.
Responsibilities
- Answer anddirect phone calls.
- Organize and schedule appointments.
- Plan meetings and take detailed minutes.
- Write and distribute email, correspondence memos, letters, faxes, and forms.
- Assistin the preparation of regularly scheduled reports.
- Develop and maintaina filing system.
- Update and maintainoffice policies and procedures.
- Order office supplies and research new deals and suppliers.
- Maintain contact lists.
- Book travel arrangements.
- Submit and reconcile expense reports.
- Provide general supporttovisitors.
- Act as the point of contact for internal and external clients.
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
Education & Experience:
- High school diploma or equivalent; additionalqualification as an Administrative Assistant or Secretary will be a plus.
- Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment, like printers and fax machines.
- Proficiencyin MS Office (MS Excel and MS PowerPoint, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask.
- Customer service orientation.
- Lifting upto 25 pounds
- Bending, stooping, ability to stand for extended periods of time
- Must be able to travel and have a clear driving record in accordance tocompany driving guidelines
