Accounts Receivable Collections Specialist

Overview:

We are seeking a detail-oriented Accounts Receivable (A/R) Collections Specialist to manage our customer accounts and drive the timely collection of outstanding receivables. The ideal candidate will be responsible for proactive client outreach, resolving billing discrepancies, and maintaining accurate records to optimize cash flow.

Key Responsibilities:

- Manage a high-volume of customer accounts to ensure timely payments.

- Make regular collection calls and send correspondence (emails, letters) regarding past-due balances.

- Investigate and resolve customer payment discrepancies and billing disputes.

- Document all collection activity accurately on customers account in software.

- Review weekly credit reports and contact customers that are due for a delivery or on a COD basis. This includes monitoring our Otodata program for upcoming propane deliveries.

- Set up new customer fuel and service accounts.

- Set up customer budgets on accounts, adjust as necessary during the heating season. Assist with new calculations in June.

- CSR backup – assist answering phones and customer requests.

Qualifications:

- Experience: Minimum 2–3 years of experience in accounts receivable and customer service.

- Skills: Proficiency in Microsoft Excel.

- Education: Associate’s degree preferred.

- Attributes: Strong verbal communication. Ability to make sound judgements and credit decisions on the behalf of Wilcox. Negotiation, and Conflict-resolution skills. Strong attention to detail and follow up a must. Work as a team player and give assistance where needed.
